Thermal Specialties is looking for an Operations Coordinator for our
Construction Services Division in Fort Worth, Texas.
The purpose of this position is to : 1) Provide general administrative support and coordination for the Construction Services Fort Worth (CSFW) business unit. 2) Provide administrative sales support for the CSFW business group. 3) Provide administrative project support for the CSFW business group. Initiate and follow up on quotes and place purchase orders with suppliers as requested by Construction Services personnel. 4) Coordinate with suppliers on delivery logistics. Ensure that job invoices are correctly coded and filed; Check the validity of invoices received; Organize invoices and other job costs to ensure correct job accounting. 5) Create and maintain all accounting and operations related data in the company's business software.
Role and Responsibilities :
- Make related accounting entries into Sage 100.
- Routinely translate documents and communicate with customers, shop staff and field staff in another language to provide support to Spanish-speaking clients.
- Ensure compliance with all OSHA regulations, ISNetworld (ISN) and customer-specified safety standards, and internal company safety protocols.
- Maintain and manage customer paperwork during order processing.
- Answer inbound customer call requests for pick-up and order status questions.
- Ensure that job invoices are correctly coded and filed; Check the validity of invoices received; Organize invoices and other job costs to ensure correct job accounting.
- Maintain all accounting and operations related data in the company's business software. Create and manage job related costs including inventory usages, labor, rentals, and other direct charges in an organized and accurate manner.
- Provide support for the Tulsa CS Office Manager as needed.
Qualified Candidates must possess :
Bilingual in English and Spanish, with the ability to communicate verbally and in writing with native Spanish speakers, in a construction environment.Previous experience with a commercial construction firm is required .Education must be a high school diploma or equivalent. Two-year post-secondary or Bachelors degree with business focus is preferred .Valid drivers license.Familiarity with construction equipment rental practices and shop / yard management.Has knowledge of commonly used concepts, practices, and procedures within manufacturing and commercial construction industry.Perform accounting principles; excellent organization; excellent computer skills.Strong knowledge of safety protocols, insurance processes, and quoting procedures.Excellent soft skills for interacting with customers and vendors of varied backgrounds. Must be a team player and work well both independently and in a team environment.Job Type : Full-Time
