Typical Schedule : Primarily M-F Days. Hybrid work available. Must occasionally be willing and able to work flexible hours / days, including evenings and weekends, reflective of the dynamic schedule of the organization.
Position Summary
The Development Operations Specialist plays a critical role in supporting the Development Team through comprehensive gift processing, donor database management, donor relations, reporting, and event support. This position ensures the integrity of donor data, timely and accurate gift acknowledgment, and contributes to the success of fundraising campaigns and events. The Specialist serves as a key point of contact for donors and internal stakeholders, helping to advance the mission of Hammer & NER : 'To provide people with intellectual and other disabilities the opportunity to live life to its fullest.'
Primary Duties and Responsibilities
1. Gift Processing & Financial Coordination
- Manage all aspects of gift entry including checks, credit card, stock, in-kind, event-related, honor / memorial, matching, ACH, and employee gifts.
- Prepare deposits and reconcile with Finance Department.
- Track gift intentions and send timely reminders.
- Assist Finance with month-end and year-end reconciliation and reporting.
- Generate and mail gift and pledge acknowledgment letters and gift communications with appropriate Program Team members.
- Maintain donor correspondence and documentation.
2. Database Management & Integrity
Maintain accurate and up-to-date donor and constituent records in Raiser’s Edge / NXT.Conduct regular audits and updates (e.g., Netsmart, NCOA).Create and revise gift entry procedures and supporting documentation.Manage email bounce-backs and subscription updates.3. Donor Relations & Stewardship
Respond promptly to donor inquiries via phone and email.Coordinate thank-you calls and letters with volunteers.Provide stewardship reports and donor lists for communications.Treat all donors as essential contributors to organizational success.4. Reporting & Administration
Generate reports for donor activity, campaign / appeal performance, and stewardship.Support appeals, campaigns, and custom mailings.5. Event Support
Assist with planning and execution of fundraising events (e.g., Reach for Ralph).Receive and document auction items for online bidding.Serve as liaison with vendors and volunteers during events.Essential Knowledge and Qualifications
Demonstrated experience in fundraising, donor database management, or related field including experience with CRM software products and relational database concepts. Raiser’s Edge experience preferred.Organization and Detail-Oriented : Experience managing multiple tasks and projects and maintaining accurate records with strong attention to detail.Data Entry and Reporting : Strong data entry skills, proficiency in creating and analyzing reports.Demonstrated experience communicating effectively and persuasively in oral and written communication on an interpersonal or group level.Experience exercising professional discretion and maintaining confidentiality regarding all organization related matters.Must demonstrate the ability to work diplomatically with a wide variety of people, possess effective communication skills, strong organizational skills, and complete tasks with a high attention to detail.Proficiency in use of MS Office suite.Strong commitment and demonstrated passion for the organization’s mission to support individuals with disabilities.Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class, and immigrant status.Personal background may not include disqualifying criminal activity as outlined in DHS Rule 11 and Adult Foster Care requirements.Physical demands include frequent use of a telephone, frequent use of repetitive motion activities including typing on a computer keyboard and?the ability to work for 6-8 hours at a time at a desk and computer. Ability to lift and carry items weighting up to 25 pounds.Some local travel maybe required for event-related tasks & volunteer engagement efforts. Driver's license and reliable transportation (personal vehicle) required.Must be willing and able to work flexible hours / days, including occasional evenings and weekends, to meet the needs of the organization.This job description assigns essential functions.
