The Executive Administrative Assistant is a highly valued member of the Fiore & Sons team whose primary functions involve supporting the efforts and needs of Operational members of the Executive Staff and managing the organization’s office operations. The Executive Operations Assistant will be responsible for designing and producing weekly and monthly reports for the Operational leader’s performance metrics. This role requires an exceedingly organized and adaptable individual who can provide executive assistance as well as the critically important function to inform all Operational leaders of how they are progressing on their strategic goals for the year. This role with help Operations to achieve the targeted profit, safety, and other strategic goals.
TOTAL COMPENSATION
$78,900.00 to $113,300.00 annually
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide sophisticated calendar management for members of the Executive Staff. Prioritize inquiries and requests while managing conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
- Complete a broad variety of administrative tasks that facilitate the Executive Staff’s ability to effectively lead the organization, including : designing and producing complex documents, reports, and presentations; collecting and preparing information for the Operations organizational leaders; composing and preparing correspondence; maintaining contact lists; and making event arrangements.
- Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the members of the Executive Staff, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect Executive Staff’s style and organization policy.
- Work closely with members of the Executive Staff to keep them well informed of upcoming commitments and responsibilities, following up appropriately; maintain a sense of the issues taking place in the environment and keep supported Executive Staff updated. Anticipate needs in advance of meetings, conferences, etc.
- Develop and maintain weekly scorecard of various business metrics for Operations leaders, coordinating with department Directors on sources, standards, and distribution.
- Work with Power BI analyst to automate score card reports by providing requirements and testing.
- Assemble additional deliverables to support Executive understanding of metric results.
- Ensure all office meetings maintain consistency of feel and deliverables follow company brand standards.

Ability to sit, stand, or walk for extended periods of time, including uneven terrain on work sites if needed. Ability to lift 25 lbs. occasionally for office supplies, filing and storage. Ability to manipulate paperwork and read a computer screen, operate computer peripherals and general office equipment for extended durations.
WORK ENVIRONMENT :
Primarily office-based, with varying temperatures and extended screen time.
