Purchasing Analyst, Office Of Chief Information Officer
The Information Technology division is looking for a detail-oriented procurement analyst to join our IT Financial Services unit. Office of IT Administration, Financial and Personnel Services aims to provide administrative services to the Division of Informatics Information Technology & Telecommunication in areas of IT contracting and purchasing for software, hardware, maintenance, and professional services; HR related processing, IT budgeting and monitoring, and IT space planning and management. IT Administration Office is committed to fulfill the City's as well as the agency's MWBE goal and compliance, to diversify the IT's workforce and reverse the racism, to improve IT's operational indicators, and to strike a high standard customer service to increase the division's compliance, productivity and efficiency. Duties will include but not be limited to :
- Prepare and process purchase orders, contracts, and agreements across various procurement methods. Identify procurement-related challenges and propose effective solutions.
- Communicate with vendors to request necessary documentation and ensure timely, complete submissions. Review vendor documents for completeness and compliance with procurement requirements.
- Ensure full compliance with agency, city, state, and federal procurement regulations, including Procurement Policy Board Rules. Prepare and maintain accurate procurement records.
- Track critical renewal dates for service contracts, including software and maintenance agreements.
- Provide responsive and professional customer service to internal departments and external stakeholders.
- Assist departments in aligning procurement strategies with budgetary and operational needs. Respond to procurement-related inquiries and resolve issues promptly.
- Perform other special projects and assignments as required.
Preferred skills :
Proficiency in Microsoft Excel, Passport, FMS, and DOHMH applications (i.e. OES / BMS / ConTrak / ConTrak Purchasing / PAYERS) experience is a plus.Exceptional organizational, analytical and leadership skills.Ability to manage a wide range of projects simultaneously in a fast-paced environment. Working knowledge of PassPort. Demonstrated understanding and working knowledge of the NYC PPB Rules.Experience working under strict deadlines.Excellent analytical, verbal and written communication skills.Why you should work for us :
