Payroll Specialist

Our client in Chicago, IL is seeking a meticulous and highly organized Payroll Specialist to join our finance team. The ideal candidate will be responsible for ensuring accurate and timely processing of payroll for all employees, maintaining payroll records, and ensuring compliance with all relevant tax laws and regulations. This role requires a strong understanding of payroll principles, excellent attention to detail, and a commitment to confidentiality.

Must be local to the Chicagoland area due to on-site requirements.

Responsibilities :

  • Process multi-state payroll for 1,000 employees on a bi-weekly basis, including salaries, hourly wages, commissions, bonuses, and expense reimbursements.
  • Review and verify timekeeping records for accuracy and completeness.
  • Calculate and process statutory deductions (federal, state, and local taxes) and voluntary deductions (benefits, 401k, garnishments, etc.).
  • Administer and process new hires, terminations, leaves of absence, and other employee changes affecting payroll.
  • Reconcile payroll data to the general ledger and resolve any discrepancies.
  • Prepare and submit all required payroll tax filings (941s, W-2s, state unemployment, etc.) accurately and on time.
  • Respond to employee inquiries regarding payroll, deductions, and tax withholdings in a professional and timely manner.
  • Maintain accurate and confidential payroll records and ensure compliance with company policies and relevant federal, state, and local regulations (e.g., FLSA, IRS, Department of Labor).
  • Collaborate with Human Resources and Finance departments to ensure seamless information flow and resolve payroll-related issues.
  • Assist with year-end payroll processing and reporting.
  • Stay up-to-date with changes in payroll laws and regulations.
  • Participate in payroll system upgrades, testing, and implementation as needed.
  • Generate payroll reports for management as required.

Qualifications :

  • 5+ years of experience in payroll processing.
  • Proven experience with payroll software systems (e.g., ADP, Paychex, Workday).
  • Strong understanding of federal, state, and local payroll tax laws and regulations.
  • Proficient in Microsoft Office Suite, especially Excel (pivot tables, VLOOKUPs).
  • Exceptional attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to work independently and as part of a team in a fast-paced environment.
