Job Summary

This position is responsible for providing administrative support to the Assistant Vice President for Student Affairs / Dean of Students and the Assistant Provost / Assistant Vice President for Academic Advising and Student Success and departments within these divisions. The position is a direct report to the AVP Student Affairs / Dean of Students.

  • Responsibilities

    Performs receptionist and customer service functions. - 35%

  • Answers telephone calls and greets visitors at the Dean of Students Office suite.
  • Provides information and assistance to callers and visitors.
  • Receives, sorts, and distributes mail, documents and other materials.
  • Receives payments for events and services.
  • Provides administrative support for office operations. - 30%

  • Schedules appointments, meetings, and special events, including room reservations.
  • Maintains office supply inventory; reorders as needed.
  • Maintains confidential or sensitive information.
  • Provides administrative support as needed.
  • Maintains budget spreadsheet.
  • Monitors RSO and SGA event requests, agency accounts, and complete purchases.
  • Researches, prepares, updates, and processes reports, documents, contracts, etc. ¿ 30%

  • Prepares maintenance and facility requests.
  • Creates invoices for various services provided.
  • Prepares requisitions and purchases items using purchasing card.
  • Works with vendors to purchase and maintain inventory of office equipment and supplies, advertisements and operating services.
  • Works with various organizations to register staff for conferences and events, including travel and accommodations.
  • Reconciles p-card purchases.
  • Supervises student workers - 5

  • Recruits, hires, trains, assigns, directs, and supervises student workers.
  • Required Qualifications

    Educational Requirements

  • Associates degree in a course of study related to the occupational field or equivalent related experience.
  • Required Experience

  • More than three years of related experience required.
  • Preferred Qualifications

    Additional Preferred Qualifications

  • Familiarity with Microsoft Office 365, Word, Excel, TEAMS and Dynamic Forms.
  • Familiarity with higher education.

    KNOWLEDGE

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and departmental policies and procedures.
  • Knowledge of business English, spelling, punctuation and arithmetic.
  • Knowledge of computers and job-related software programs.

  • Skill in prioritizing and organizing work.
  • Skill in the management of files and records.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
