Administrative Operations Assistant
Shift / Hours : Monday Friday, 8 : 00-5 : 00 PM some flexibility
Pay Range : $24 / hr - $28 / hr
Location : Walnut Creek, CA
Our customer is seeking an Administrative Operations Assistant who will be a key support member of our team, performing a variety of administrative and clerical tasks to ensure the smooth, day-to-day logistics of our transportation services. This role is vital for bridging internal operations with external school district communication, and for ensuring our drivers remain compliant and fully supported.
Key Responsibilities
- Maintain and update spreadsheets related to driver compliance, scheduling, and student assignments.
- Review and reconcile discrepancies in records, data submissions, and logs.
- Track certifications, insurance renewals, and other time-sensitive documents.
- Follow up with drivers and supervisors to ensure all required paperwork is submitted accurately and on time.
- Communicate professionally with school district liaisons via email and phone.
- Maintain organized digital and / or physical records in compliance with company policy.
- Support incident reporting and ensure proper documentation flow.
- Provide timely updates to supervisors and help resolve day-to-day operational issues.
- Perform other duties as assigned.
Qualifications
High School Diploma or equivalent.3-4 years of administrative experience.Proficiency in Microsoft Excel, Word, and Google Sheets (intermediate level).Strong knowledge of PDFs (Adobe Acrobat or similar tools).Proven experience with data entry and managing spreadsheets.Ability to write clear and concise incident reports.Strong attention to detail and organizational skills.Ability to manage multiple deadlines and communicate effectively across departments.Professional phone and email etiquette.Familiarity with using Google Maps or similar tools for route planning.Experience in school transportation, logistics, or compliance-related roles is a plus.Ability to communicate in other languages is a plus.Familiarity with Google Drive, Dropbox, or other cloud-based document management systems.Physical Demands
Ability to stand, walk, or bend for up to 20% of the time.Ability to remain in a stationary position for up to 80% of the time.Ability to lift a maximum of 10 lbs.Ability to operate a computer and other office equipment.Must be able to communicate effectively with managers, staff, and outside vendors.Ability to make repetitive movements of the wrists, hands, and / or fingers.Work is performed in a standard office setting.Supervisory Responsibilities : None
