We have an opening for a Probate and Estate Administration Paralegal / Legal Assistant.
You will interact with and gather information from clients, prepare filings related to estate administration cases, coordinate case management with other team members, and follow up as needed with clients.
You are able to utilize our case management system, Clio, and accurately keep all client files and records. Your attention to detail and strong commitment to quality will shine in your work product.
This role is a hybrid position- working 4 days per week in our office in Vienna, VA, and Fridays from home until 3 pm.
Compensation : $55,000 yearly
Responsibilities :
- Set up client files and matters in Clio.
- Obtain the required client information and save it in Clio.
- Help prepare basic letters and client correspondence.
- Perform data entry and scan all required documents into Clio.
- Draft and proofread estate administration documents.
- Meet with and / or follow up with clients in a timely manner and with the utmost level of professionalism.
- Compile funding using Excel and perform basic accounting.
- Proactively help manage and prepare for client appointments to assist the attorney.
- Proactively collaborate with attorneys and take initiative to stay ahead of deadlines and work.
- Provide timely updates to supervisors on all files daily and / or weekly.
- Takes initiative in continuous learning, takes notes, and asks questions proactively.
- Manage Estate Administration calendar proactively, utilizing Clio to track deadlines.
- Prepare all documents related to EA cases (probate petition, notices, advertising, certifications of notice, inventory, inheritance tax returns, settlement agreements).
- May help prepare basic estate planning documents.
- Interact with clients via telephone, email / messaging, and in person to gather information.
- Embrace a mindset that clients are grieving, and we are providing assistance during a difficult time.
- Participate in a weekly meeting with the firm owner and / or lead attorney.
Qualifications :
HS Diploma and / or Associate’s degree with at least 3 years’ related experience.Prior law firm or government legal experience with familiarity with Virginia state and local court procedures is a plus.Proofreading skills.High attention to detail.High follow-through skills.Excellent client service.High degree of care and professionalism.Ability to manage all communications in Clio (our case management system).Ability to work in the office 4 days per week.Specific availability for client telephone calls.About Company
