Purpose : The Staffing Coordinator develops and maintains the schedules of the Hospice Aides and Continuous Care staff in accordance with census and patient need. The person in this position will also coordinate overall activity and recommend counseling when appropriate.
Job Description :
Scheduling & Staffing
- Develop, distribute, and maintain daily schedules for Aides and Continuous Care staff in accordance with patient census.
- Accurately record all schedules in the EMR and Excel tracking systems.
- Collaborate with RN Case Managers to ensure appropriate staff placement for patient care needs.
- Create schedules that maximize staff utilization, minimize overtime, and reduce reliance on outside agencies.
- Promptly communicate schedule updates to patients, families, facilities, RN Case Managers, Regional Managers, and Tablet Support.
Operations & Reporting
Review daily device logs and report discrepancies to Tablet Support.Maintain accurate records of staff attendance, availability, callouts, and refusals, update logs in real time.Prepare and distribute End-of-Day reports to teams and Payroll.Seek Staffing Manager approval for requests outside the general staffing scope.Monitor daily census reports and adjust staffing accordingly.Team Engagement & Compliance
Participate in quarterly Aide In-Service meetings, team meetings, and occasional field shadowing.Uphold strict confidentiality regarding patients, staff, and organizational operations.Model and reinforce Grace Healthcare Services' standards of professionalism, customer service, and best practices in all interactions.Qualifications :
High School diploma or equivalent required; Associate degree preferred.Minimum of three (3) years of related work experience, preferably in healthcare, home care, or hospice scheduling.Strong written and verbal communication skills.Excellent customer service and telephone etiquette.Proven ability to multitask and manage competing priorities in a fast-paced environment.Proficiency in Microsoft Word and Excel; experience with EMR systems strongly preferred.
