Position Description
FFAR is seeking an administrative & data coordinator to join the growing Partnerships & Development (P&D) Team during an exciting time in the organization's history. This position plays an important role in providing organizational and administrative support, facilitating the program data management process and creating public-private partnerships.
This position reports to the vice president (VP) of Partnerships & Development and plays a key role in the smooth operations of the P&D Team. This position helps maintain the partnerships and development database and collaborates across internal departments as needed to help the team advance priorities.
Duties & Responsibilities
With guidance from VP, work in conjunction with the P&D operations manager to implement efficient administrative procedures to improve department operationsMaintain accurate and up-to-date records in the CRM system by supporting the entry of contact, organization and meeting informationProactively identify and flag duplicate or outdated records in preparation for data cleanup initiative. Enter data into the team management tools for partnerships and fundraising; manage the fundraising database including data entries, reports and maintenanceEnsure accuracy and consistency of records and reconcile data as needed on an ongoing basisPrepare as required, in collaboration with P&D operations manager presentations and materials VP needs for board meetings, including visualizations of key metrics and performance indicators. Generate reports and information for presentationsServe as the P&D Team's owner of a Sharepoint dashboard to be developedOrganize and maintain files, contracts and partnerships documents in SharepointSchedule and, at times, prepare logistics for external partner meetings, including coordinating multiple calendars across time zones to schedule partner meetings and coordinate meeting agenda preparationManage the P&D conference tracker and update it as needed. Work with P&D Team members to track conference and convenings attendance and update CRM system accordinglyManage an automated Customer Relationship Management (CRM) system base including acknowledgements letters to be sent to donorsMaintain and improve the artificial intelligence (AI) based P&D newsletter – currently in development- and publish it on a regular basisWork collaboratively with FFAR Communications, Science, Grants and Operations Teams on projects, events and related activitiesContribute to departmental goals and assist with the smooth flow of development operations by accomplishing related dutiesCollaborate with P&D operations manager to ensure a smooth, accurate and clear migration of data to a new CRM systemQualifications
Bachelor's degree in nonprofit management, communications or related fieldThree to four years of administrative experience in a dynamic, fast-paced environment; experience reporting to or engaging with executive level managersProven experience with data entry, database management and / or data reconciliation preferredExperience with CRM platforms is a plusComfortable managing multiple projects, priorities and deadlinesKnowledge of Microsoft Office 365 Suite requiredExperience in successfully engaging with external partners to set up meetings while helping protect the partnershipStrong writing, editing and proofreading skills with keen attention to detailWillingness to take the initiative and problem solveStrong critical thinking, research, analytic and organizational skillsAbility to work both independently and cross-functionally with the Partnerships & Development Team and across departmentsCommitment to the highest standards of donor service and professionalismApplication & Nomination Process

Additional Information
This position requires long periods of sitting at a desk and working on a computer. Occasional travel may be required. Additionally, this position will work closely with the VP of Partnerships & Development and may be asked to come into the FFAR office located in downtown Washington, D.C. to attend key meetings and events. Work outside of normal business hours may be required.
