Role Description

We are seeking a highly organized and detail-oriented Sales & Marketing Coordinator to support our business development and marketing initiatives in the commercial roofing and building envelope industry. This fast-paced role demands strong project management, communication, and writing skills. Reporting directly to the Vice President of Marketing, the ideal candidate will take ownership of local proposal development, building and maintaining the proposal content library, and managing Salesforce data entry to ensure accurate tracking of opportunities and streamlined pursuit efforts.

Key Responsibilities :

Proposal & Presentation Development

  • Lead the production, writing, and strategy for proposals, presentations, qualifications packages, and related client-facing documents.
  • Develop compelling materials ranging from structured technical documents to visually engaging narratives.
  • Ensure accuracy, clarity, and consistency across all deliverables.

Sales & Marketing Coordination

  • Maintain and update Salesforce records, including opportunities, contacts, and pipelines.
  • Maintain brand standards
  • Local event / tradeshow coordination and assistance including vetting viable opportunities to participate in locally
  • Content & Asset Management

  • Maintain up-to-date libraries of proposal content, case studies, resumes, project descriptions, licenses, and visual assets.
  • Develop case studies and project descriptions as needed
  • Ability to recognize and implement process improvements
  • Collaboration & Support

  • Work closely with sales, marketing, and operations teams
  • Other duties as required to support the team
  • Qualifications

  • Bachelors degree in Marketing, Business, or related field
  • 3+ years of experience in marketing, sales coordination, or business development
  • Experience in the AEC / contracting / trades strongly preferred
  • Strong writing and editing skills, with the ability to tailor content to technical and non-technical audiences
  • Excellent organizational and project management skills with the ability to meet tight deadlines
  • Proficient in a range of computer software including Microsoft Office (Word, Excel, SharePoint, and PowerPoint)
  • Strong knowledge of the proposal process, including experience assembling and producing RFPs, RFQs, RFIs, and related submission types
  • Collaborative, detail-oriented, proactive, with excellent communication skills, and takes pride in producing high-quality deliverables
  • Good to know :

    This role is full-time and offers competitive pay as well as a comprehensive benefits package. Workdays are Monday Friday, and work will be performed in office at our Laurel, MD branch. This role will report to the Vice President of Marketing and work closely with the Regional Vice President of Sales, local management, and sales teams.
