Job Summary :
The Accounts Payable (AP) Manager is responsible for leading the accounts payable function and ensuring timely and accurate processing of vendor invoices, payments, and expense reports. This role oversees the AP team, enforces internal controls, manages vendor relationships, and ensures compliance with company policies and regulatory requirements. The AP Manager works closely with procurement, project management, and the Controller to support the company’s financial operations.
Supervisory Responsibilities :
Manage the daily operations of the accounts payable department.
Hire, train, and evaluate AP staff to ensure high performance.
Monitor workload distribution and deadlines for invoice processing and payment cycles.
Develop and maintain AP policies, procedures, and internal controls.
Ensure accurate general ledger coding and compliance with accounting standards.
Assist in external audits related to accounts payable.
Duties / Responsibilities :
Oversee the full accounts payable cycle including invoice entry, approvals, payments, and reconciliations.
Review and approve payment batches for accuracy and proper authorization.
Maintain vendor records, ensure W-9 compliance, and oversee 1099 filings.
Reconcile AP sub-ledger to general ledger and resolve discrepancies.
Manage weekly and monthly cash disbursement forecasting.
Coordinate with purchasing and receiving departments to resolve purchase order / invoice variances.
Monitor aging reports and ensure prompt resolution of outstanding payables.
Maintain strong vendor relationships and respond to inquiries in a timely manner.
Recommend and implement process improvements for greater efficiency.
Support month-end and year-end closing processes.
Other duties as assigned.
Education / Certifications / Licenses
Bachelor’s Degree in Accounting, Finance, or related field preferred
Certification in credit / collections management (e.g., CBA, CBF) is a plus
Experience
Minimum 5 years of experience in accounts payable or related accounting function
At least 2 years of supervisory or leadership experience
Construction, contracting, or project-based industry experience preferred
Experience with ERP systems and automated invoice processing tools
Required Skills / Abilities
In-depth understanding of AP processes and financial controls
Strong leadership, communication, and organizational skills
Proficient in Microsoft Excel and accounting software
Ability to meet deadlines in a fast-paced environment
Attention to detail and high level of accuracy
Ability to collaborate with cross-functional teams
