Reporting to the VP of Programmatic Marketing and Activation, the Coordinator will assist with campaign logistics, asset tracking, vendor coordination, calendar and content repository management and invoice processing. In addition, this role will provide essential administrative, logistical, and project support to ensure marketing initiatives are delivered efficiently and effectively.

The ideal candidate is a collaborative team player who thrives in a fast-paced environment and is eager to grow within a dynamic marketing team.

Position operates out of our DC office, with a required three days onsite, Monday - Wednesday with flexibility to work remote on Thursday and Friday.

The work you will do as Marketing and Activations Coordinator will play an integral role in supporting the development and execution of enterprise-wide marketing campaigns and communications.

Key Responsibilities

Campaign & Activation Support

  • Assist in the coordination of integrated marketing activations aligned with strategic goals.
  • Support internal teams and vendors in the timely delivery of campaign assets.
  • Help monitor campaign timelines and deliverables, flagging delays or issues.
  • Management of the Restaurant Connect platform.

Project Coordination

  • Maintain project tracking tools and update timelines and task lists.
  • Support cross-functional coordination by scheduling meetings and tracking progress.
  • Project management tasks and documentation.
  • Vendor & Asset Support

  • Track vendor deliverables and retainer hours under guidance from the manager.
  • Ensure assets are properly stored, organized, and meet brand standards.
  • Administer and maintain the marketing content repository, ensuring documents, assets, and resources are organized, accessible, and up to date.
  • Enterprise Content Calendar Management

  • Maintain and update the centralized, organization-wide campaign and content calendar.
  • Ensure calendar reflects real-time updates, cross-team dependencies, and scheduled activations.
  • Coordinate with internal stakeholders to align timing, themes, and messaging across business units.
  • Communications & Administrative Support

  • Schedule stakeholder meetings and assist with meeting prep and follow-up.
  • Format internal and external presentation decks and marketing materials.
  • Process, track, and reconcile marketing-related invoices in collaboration with finance and vendors.
  • Coordinate internal team events, travel logistics, and office supply orders.
  • Support event shipments from the DC office and coordinating courier services as needed.
  • Manage calendars and support scheduling needs across the department.
  • On site event support as needed.
  • Management of content in the sales enablement platform.
  • Research & Video Platform Coordination

  • Conduct basic research to support marketing planning and initiatives.
  • Manage the Gather Voices video platform, including content intake and coordination.
  • Requirements

  • Bachelor's degree or equivalent work experience preferred.
  • 2-4 years of experience in marketing coordination, administrative support, or project assistance.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and SharePoint; experience with Google Workspace a plus.
  • Familiarity with project management tools (e.g., Asana, Monday.com) is a plus.
  • Strong written communication skills, including proofreading and formatting.
  • Excellent organizational skills and attention to detail.
  • Collaborative mindset and ability to manage multiple priorities.
