Summary

The primary function of the Service Writer is to ensure customers are greeted openly and friendly and to provide exceptional customer service. The individual receives customer requests for service, coordinates scheduling and customer uptime with triage. The Service Writer estimates the cost of repairs within set guidelines and manages shop repair orders through technology. The individual also assists the Service department with clerical duties, such as documentation for warranty, policy settlements, customer, and vendor contact.

Description

The Service Writer's responsibilities include greeting customers, coordinating repair orders, estimating repair costs, and handling clerical tasks related to warranty and customer contact.

Job Responsibilities

• Receive inbound customer calls regarding service scheduling and requests.
• Greet and assist drivers at the location with their units.
• Coordinate and track the status of repair orders with the Service Manager and Shop Foremen.
• Ensure timely action on repair orders and handle disputes and warranty issues.
• Complete and properly execute documentation for labor sales.
• Maintain repair orders by opening and closing them timely.
• Stay informed of service bulletins, recalls, and warranty information.
• Communicate customer complaints to the Service Manager.
• Advise customers on needed services and suggest additional work or parts.
• Contact vendors and OEMs for product information or authorizations.
• Obtain purchase orders from customers and sublet providers.
• Participate in training on technical and warranty issues.
• Maintain a clean shop and office area.

Requirements

Basic computer skills and Repair Order Processing Software knowledge are required. Working hours may vary, including evenings, weekends, or extended hours. Physical requirements include mobility, good vision, hearing, manual dexterity, and the ability to lift objects occasionally.
