What We Are Looking For
Works under the supervision of the Manager, Health Information by assisting in coordinating all administrative and clinical activities related to the day-to-day operations and maintaining a smooth operation within medical records. Monitors staff productivity while emphasizing completeness, accuracy of the medical records department as well as the concern for any patient's requests, the timeliness of release of information and subpoena's. Interfaces with physicians, employees, and patients and maintains positive relationships with the ability to delegate and coordinate responsibility. Performs primarily as the Health Information Specialists when Health Information Manger is on site and performs medical records tasks within the scope of their education and training. Performs other duties as needed.
Schedule : 4 days per week, 10 hours per day Mon-Thur 7 : 00am -5 : 30pm | Location : Brier Clinic, San Bernardino, CA
ESSENTIAL FUNCTIONS AND DELIVERABLES
- Functions as Supervisor to Department Manager. Provides administrative support in all areas or staff operations and management.
- Functions as a liaison between the staff and administration and also patient relation issues for the department. When appropriate contacts additional parties.
- Responsible for participation in active role of organizing and implementing departmental changes, participates in development of new methods to improve medical records operations and attends continuing education courses as needed, etc.
- Assists in oversight of staff in regards to adhering to all HIPPA & confidentiality guidelines.
- Assists in department quality assurance / improvement processes.
- Assists in Medical Records quality control, chart auditing and training staff.
- Develop and maintain medical record guidelines. Assists in developing office personnel work schedule, ensuring adequate coverage.
- Assists Departmental Manager / Director with recruiting, hiring and discipline issues for staff. Monitors job performances and participates in conducting performance reviews.
- Meets with Health Information Manger on a regular basis to assure optimal productivity, support, resolve problems and maintain line of communication.
- Assists in verifying legitimacy of all incoming authorizations for release of protected health information; Secures valid authorizations for release of information; accurately identifies information to be released.
- Assists in Evaluating STAT requests and responds appropriately per policy. When necessary, fax cautiously according to policy.
- Assists in Processing subpoenas. Verifies validity of subpoena including correct address, notice to consumer processed, and sufficient time allowed to respond. Reviews the patient record for subpoenaed information and any sensitive material prior to release, oversees copying of prepared medical records for subpoena and maintains a log of all subpoenas served.
- Assists with Processing all incoming faxes and mail and pulls charts to send out to the providers and nurse manager.
- Assists with Processing return and certified mail and check for continuity of care. Ensures proper training of all new Medical Records Staff, monitors productivity and provides reports as necessary.
- Responsible for timekeeping and payroll of Medical Records staff. Work in HR to
ensure that all payroll is processed and submitted on time.

Assists with Retrieving charts from off-site storage; Searches for missing charts and keeps supervisor informed of status.Assists with Retrieving and filing medical records using the medical record number. Electronically files scanned images into the Electronic Health Record.Maintains positive rapport among co-workers.Ability to travel to other clinics as necessary; must have a reliable vehicle, validQUALIFICATIONS :
Education : High School Diploma or equivalent required. Bachelor degree in Business Administration or related field preferred.Licensure / Certification : Valid California driver's license, and auto insurance. As a requirement of this position you must receive EPIC certification for the module you have been hired into.Experience : minimum of 2 years of Medical Records experience as a lead preferred; release of information experience preferred. Must have strong organizational skills; ability to work independently and exercise discretion and sound judgment in handling a variety of situations. Must possess the ability to set priorities and procedures for accomplishing work assignments.Essential Technical / Motor Skills : Inputting data, speaking clearly,handling / gripping charts and pagers; digital dexterity. Familiar with use of telephone, fax machine and proficient of computer. Must have pleasant and courteous telephone voice manners. Must be knowledgeable in many types of office equipment.Interpersonal Skills : Must have strong organizational skills; ability to work independently and exercise discretion and sound judgment in handling a variety of situations. Must possess the ability to set priorities and procedures for accomplishing work assignments. Strong public relations and communication skills in dealing with patients and their families. Communicates well with medical staff, outside agencies, public and co-workers. Ability to maintain a professional attitude in difficult situations and communicate effectively. Understands needs of clinic and is a team player.Essential Mental Abilities : Requires critical thinking skills and attention to detail. Must be able to be flexible to variety of tasks. Must be well organized. Must be able to handle multiple telephone line ringing simultaneously. Must be able to prioritize work with strong decision making capabilities.Work Eligibility : Must be legally authorized to work in the United States on a full-time basis.
