Job Summary :
As the Scheduling Coordinator, with Guardian Home Care of NH, LLC, you will play a pivotal role in the day-to-day operations of our growing home healthcare business, focusing on PCA services. You will be responsible for managing and coordinating the schedules of home care staff while providing exception customer service to clients, caregivers, and other stakeholders of the organization. This role involved creating and adjusting schedules, maintaining accurate records, addressing client inquiries, and ensuring the smooth operation of daily scheduling activities.
Educational / Professional Experience and Knowledge and Abilities :
- High school diploma or equivalent; Associate degree preferred.
- Minimum of 2 years of experience in scheduling and customer services, preferably in a home care or healthcare setting.
- Familiarity with scheduling software and electronic health records (EHR) systems. Guardian Home Care of NH uses HHAeXchange and any knowledge is beneficial
- Strong organizational and multitasking abilities.
- Excellent interpersonal and communication skills.
- Ability to handle multiple tasks and work under pressure
- Proficient in Microsoft Office Suite
- Ability to adapt to a dynamic and fast-paced start-up environment.
- High level of integrity and confidentiality
Responsibilities :
Develop and maintain daily and weekly schedules for staff, ensuring all client needs are metCoordinate caregivers’ assignments based on client requirements, staff availability, and skillsAdjust schedules as necessary to accommodate changes in client needs or staff availabilityServe as the primary point of contact for clients regarding scheduling and service inquiriesAddress client concerns and complains promptly and professionally, ensuring high levels of satisfactionCommunicate schedule changes and updates promptly to both clients and caregiversMaintain open and effective communication channels with caregivers regarding scheduling issues and changesProvide clients and caregivers with timely and accurate informationMaintain accurate and up-to-date scheduling records in the agency’s scheduling softwareDocument all schedule changes and ensure compliance with agency policies and proceduresTrack and report caregiver availability, time off requests, and other relevant informationAddress and resolve scheduling conflicts and last-minute changes efficientlyWork collaboratively with Senior Operations Coordinator, Director of Patient Relations, Clinical Director and Director of OperationsProvide support to clients and caregivers, ensuring satisfaction with scheduling and assignmentsAssist with onboarding new caregivers by providing orientation to scheduling proceduresRespond to client inquiring and concerns in a professional and timely mannerEnsure all schedules comply the state regulations and agency policiesMonitor caregiver compliance with scheduled visits and report any deviationsParticipate in quality assurance activities and contribute to continuous improvement initiativesSends outgoing faxes to provider offices as requested.Mails care plan documents and schedules to patients as needed and required.Helps to answers incoming calls to Guardian Home Care of NH, LLCResponsible to cover an on-call rotationGuardian Home Care of NH, LLC’s Dedication :
