The Administrative Coordinator will be primarily stationed at the front desk, will manage Raken's day-to-day office operations and support administrative functions to ensure our organization runs smoothly. Responsibilities include maintaining a professional and welcoming presence while greeting employees, guests, and vendors. You will support staff with office requests, coordinate company activities and office events, and serve as a liaison to guide visitors and team members around the office. You will also provide outstanding daily administrative support across the organization and manage office supplies, food, and snacks. To be successful, you will be well-organized, manage time effectively, and be able to juggle multiple high-level requests. This role requires flexibility to take on a wide range of responsibilities, along with strong organizational, communication, and multitasking skills, and the ability to use independent judgment and discretion to establish work priorities based on task assessment and interdepartmental needs.

This is a part-time, in-office position averaging 20 to 25 hours per week. The employee is expected to work onsite two days each week, Tuesdays and Thursdays, with standard hours from 8 : 30 a.m. to 4 : 30 p.m. Depending on team needs, an additional day may occasionally be required, and flexibility is essential.

Role Responsibilities :

  • Manage and organize office operations, procedures, order weekly lunches, and supplies.
  • Serve as a liaison between departments, internal staff, vendors, handle incoming and outgoing mail and email correspondence.
  • Timely submission of accurate invoices and receipts.
  • Initiate and continuously improve administrative processes and procedures for efficient office operations
  • Support the People Team with new hire onboarding and other employee related administrative tasks
  • Assist in the planning and execution of internal office events
  • Punctuality and regular attendance
  • Additional duties as assigned
  • Requirements

    Skills, Qualifications and Attributes :

  • Associate's degree or equivalent experience
  • 1-2+ years' administrative support
  • Tech-savvy; proficient with G-Suite, MS applications, Slack and Confluence
  • Ability to work in a fast-paced, high-growth, and dynamic team environment
  • Strong oral and written communications skills along with being articulate, courteous and friendly
  • Highly organized, self-motivated, detail oriented with the skill to manage multiple tasks at once
  • Willingness to jump in and help out where needed; no task is too small or too big.
  • Strong problem solving skills and reasoning to solve administrative issues
  • Ability to be flexible and work independently, as well as a member of a team
  • Ability to interact cross-functionally across the organization
  • Experience in the planning, coordination, and execution of various types and sizes of meetings and events, including demonstrated skill and experience in working within a budget
  • Preferred Experience :

  • Previous experience at a startup in an administrative or support role is a plus
  • Working Conditions :

  • Must be able to use a computer and spend time speaking over the phone. At times may require long periods of sitting, standing, or walking.
