Job Purpose : The Trust Operations Specialist performs a wide variety of duties, including assisting the Trust Officer in daily operations.
Duties and Responsibilities :
- Work with windows-based trust accounting system (including, new account set-up, account maintenance and daily transaction posting and balancing).
- Balance demand deposit accounts periodically.
- Print checks for distributions upon request.
- Transfer title on new assets and track completion.
- Take in new securities for trusts to be inventoried and distributed to proper individuals for placement on the trust books.
- Research cost basis for assets and adjust cost basis for date of death.
- Monitor stock splits and capital changes (mergers and spin-offs).
- Set up trust clients in Software.
- Set up and maintain department fee schedules.
- Reconcile the Charles Schwab assets monthly.
- Reconcile DDA Statements monthly.
- Contact BTC Financial Management Rep about maturities in the department.
- Solve problems associated with department balancing / computer work.
- Review outstanding checklist monthly.
- Perform dual control activities and reconcile quarterly.
- Collect and deposit new trust department money.
- Mail fiduciary tax returns, 1099's and 5498's.
- Answer telephone, transfer appropriate calls to officers and / or take messages.
- Responsible for department filing and record retention.
- Perform various clerical duties as needed.
- Be alert for and report any potential new business opportunities.
- Other duties as assigned.
Qualifications :
Bachelor’s degree in accounting is preferred.Experience with Excel and Word required.Must have good 10-key and mathematics skills.Must be highly organized and detail oriented – speed and accuracy are essential.Must be able to work under pressure of various balancing and settlement deadlines.Must be able to communicate in a team or work group setting.Must be willing to travel to specialized trust schools up to one week at a time.Familiarity with legal, accounting and investment terminology required.Working Conditions :
This job operates in a normal office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical Requirements :
This position requires manual dexterity, the ability to lift files and open filing cabinets.
