LHH is helping an AmLaw law firm located in downtown Dallas, TX seek an Intellectual Property Legal Administrative Assistant. This is an administrative-focused role, and the team is intentionally steering away from candidates with recent or extensive paralegal, patent agent, or patent examiner experience.

- Salary is up to $75,000 DOE
- 4 days in the office and 1 day remote

Requirements
4+ years of IP secretarial experience requiredMastery of technology systems including Word, Excel, PowerPoint and the InternetExcellent organizational and communication skills; ability to work independently and as a team member; prioritizing, attention to detail, accuracy, problem solving, proofreading, and editing are essentialAbility to work overtime if neededBachelor's degree preferredGeneral familiarity with patent application processesComfortable supporting multiple attorneys with varying levels of needTech-savvy and experienced with tools such as PATTSY, CPI, Foundation, and PDF conversionComfortable running conflict checks, formatting / word processing, converting PDFsDuties
Monitors filing deadlines noted on docket reports for all US and foreign patent applications; assists with review / clearing of docketing and communicates details to DocketingAssists with the preparation and filing of patent applications, responses to office actions and related documents with the USPTO, and ensures legal documents are processed in a timely and efficient manner complying with the firm\'s quality control requirements and USPTO regulations and deadlinesAssists with the preparation and filing of Post Grant proceedings, including inter partes, review, covered business method, ex parte re-examination, post-grant review and other documents in ongoing post-grant proceedings, in a timely and efficient manner complying with the firm\'s quality control requirements and USPTO regulations and deadlinesAssists in the preparation of PCT applications and correspondence to foreign associatesPrepares routine correspondence for attorney / paralegal; creates reporting letters and legal documents utilizing in-house software / database toolCreates, maintains and organizes electronic files; maintains and organizes paper files; maintains client preferences and contacts within firm applications; provides support to and maintains internal client information siteAssists with coordination of incoming and outgoing file transfersAssumes responsibility for ensuring the efficient daily administrative operations of the assigned legal team; communicates with attorneys and helps balance the team\'s workload to ensure completion of projects within established time frames and quality standards; seeks assistance when workload demands and deadlines requireComposes routine and non-routine correspondence for attorney review and demonstrates strong proofreading skills; becomes expert at the firm\'s policies and all applicable administrative proceduresProvides administrative support to assigned legal team by ensuring the organization of workflow, maintaining files in firm applications, processing timesheets, client bills and expense vouchersAssists in organizing work schedules by maintaining calendar and contacts, scheduling appointments and coordinating travel arrangementsDemonstrates teamwork by providing secretarial and administrative support to neighboring legal teamsIf you meet the requirements, please apply or contact me directly at jamie.stone@lhh.com
