Position Summary
The Executive Assistant to the CEO provides high-level administrative, operational, and communications support within a dynamic aerospace manufacturing environment. This position requires exceptional organizational skills, business judgment, and the ability to anticipate the needs of a busy executive. In addition to managing the CEO’s daily priorities, this role will assist with internal communications, marketing coordination, and maintaining the company’s professional presence across digital platforms. The successful candidate is a polished professional who thrives in a fast-paced, technical organization and demonstrates both discretion and initiative.
Key Responsibilities
- Executive Support
- Manage the CEO’s complex calendar, meetings, travel arrangements, and correspondence with precision and professionalism.
- Prepare meeting agendas, presentations, reports, and follow-up materials for internal and external engagements.
- Serve as a liaison between the CEO and senior leadership, customers, and partners to ensure clear communication and timely execution of priorities.
- Track and manage key business initiatives, ensuring action items and deliverables are completed.
- Support Board of Directors communications, meeting logistics, and material preparation.
- Manage expense reporting and travel reimbursements through SAP Concur, ensuring accuracy and compliance with company policies.
- Handle confidential and sensitive information with the utmost discretion.
- Marketing & Communications Support
- Assist in maintaining and posting content for company LinkedIn and internal communication channels, promoting company achievements, events, and culture.
- Support the preparation of internal newsletters, announcements, and press releases.
- Collaborate with leadership and HR to ensure alignment of messaging across sites and teams.
- Track engagement and provide recommendations for improving social and internal communication effectiveness.
Operational & Project Coordination
Coordinate cross-functional meetings, leadership offsites, and company events.Prepare and organize presentation materials using Microsoft PowerPoint and data summaries using Excel.Manage and maintain document libraries, shared drives, and collaboration tools through SharePoint and Teams.Support strategic projects, process improvements, and special initiatives directed by the CEO.Serve as a key contact for external stakeholders and visitors, representing the company with professionalism and warmth.Qualifications & Experience
Bachelor’s degree in Business Administration, Communications, Marketing, or related field preferred.6–10 years of progressively responsible experience as an Executive Assistant supporting a C-level executive, ideally within manufacturing, aerospace, or engineering industries.Demonstrated expertise with Microsoft Office 365 suite (Outlook, PowerPoint, Excel, Teams, SharePoint, Word).Experience using SAP Concur for travel and expense management.Proven ability to manage competing priorities and deadlines in a fast-paced, technical organization.Excellent verbal and written communication skills, with a high attention to detail.Experience supporting marketing or social media functions, including basic content creation and analytics.Strong interpersonal skills with the ability to build relationships at all organizational levels.Demonstrated sound judgment, discretion, and professionalism.Core CompetenciesExecutive Presence and ProfessionalismOrganizational ExcellenceCommunication and Writing ProficiencyDigital Literacy and Technical AptitudeInitiative and Problem SolvingConfidentiality and IntegrityCross-Functional CollaborationJob Type : Full-time
