Job Title : Studio Operations Manager

Gracia Taylor Design is a boutique interior design studio based in Fairfield County, CT, creating classic, timeless interiors with refined, livable luxury. We work closely with clients to deliver a seamless design experience from concept to installation, managing every detail with care.
Position Overview
We are seeking a highly organized and detail-oriented Studio Operations Manager to join our team part-time (10–20 hours per week, depending on business needs and candidate fit). This role is integral to the success of our studio—overseeing financial, operational, and project management systems that allow the design team to focus on the creative process. The ideal candidate has significant professional experience, is proactive and dependable, and thrives on keeping projects, numbers, and workflows running smoothly.
Key Responsibilities
Finance & Compliance
- File monthly Connecticut sales tax returns
- Manage bookkeeping, reconcile accounts, and prepare financial reporting
- Track project budgets and assist with expense reporting
Invoicing & Client-Facing Responsibilities
Prepare and send client invoices; track payments and follow up as neededSupport Principal Designer in select client meetings (in person or virtual, as needed)Deliver samples, presentations, or packages directly to clientsProject Management
Own the design project workflow from proposal through installationTrack orders and manage procurement, ensuring accuracy in product details, shipping, and delivery timelinesLiaise with vendors, receivers, and contractors to resolve delays or discrepanciesSourcing & Procurement
Support sourcing of furnishings, fabrics, finishes, and accessoriesIssue purchase orders, confirm lead times, and proactively monitor backordersOperations & Administration
Maintain and improve studio systems and processes for efficiencyKeep project documentation, files, and dashboards current and accurateProvide organized updates on orders and timelines to clients and vendorsOn-Site (Variable, ~5–10 Hours / Week)
Manage installations and deliveriesOversee vendor and trade appointmentsHandle local errands (framing, sample pick-ups, sourcing trips to Rings End and other vendors)Qualifications
7–10 years of experience in operations, bookkeeping, or project management (creative industry experience a plus)Proficiency in QuickBooks (or similar accounting software) and Excel / Google SheetsStrong background in invoicing, vendor management, and procurementPolished and professional demeanor for client-facing interactionsExceptionally detail-oriented with excellent organizational and follow-through skillsStrong problem-solving and communication abilitiesAbility to manage multiple deadlines, prioritize effectively, and work independentlyMust be local to Fairfield County, CT (occasional in-person meetings and on-site support required)Details
