About the Role
We’re looking for a hands-on, detail-driven Bookkeeper who wants more than just a job, someone ready to grow into a Full-Charge Bookkeeper and eventually help steer the financial health of a growing company.
You’ll start with the core : accounts payable, receivable, and payroll. Then, as you prove your skill and initiative, you’ll take on reconciliations and financial reporting. The goal? To become a trusted internal watchdog, someone who understands where the money goes, catches what others miss, and isn’t afraid to speak up.

Responsibilities (in growth phases)
Phase 1 – Bookkeeping Basics
Receive and enter bills (via email or mail) into QuickBooks
Verify bills against orders, margins, and delivery confirmationsPay via Bill.com (ACH), Divvy (credit card), and checks (reviewed / approved by CEO)Accounts ReceivableProcess payments across ACH, credit card, checks, and wires
Use QuickBooks + custom ERP to track revenue (training provided)Stay on top of collections and manage internal credit holdsPayrollRun payroll biweekly via ADP Run
Onboard new hires into the biometric clock systemVerify hours, handle reimbursements, deductions, and commissionsAct as the point of contact for employee payroll questionsPhase 2 – Full-Charge Bookkeeping
Reconcile credit card and bank accounts in QuickBooksAccurately categorize every transaction (some bills, some subscriptions, some recurring)Ensure that every penny in and out is accounted for with clean line itemsCreate monthly P&L and Balance Sheet reports for executive reviewPhase 3 – Strategic Finance Contribution
Spot trends, overspending, inefficiencies, hidden costs, and / or overstaffingPropose savings, cleanup, or workflow improvementsThink proactively : “How do I make sure every dollar we spend is valid, fair, and necessary?”Challenge what’s broken, offer solutions, and look out for the company, not just your checklist.Must-Have Experience
3–5 years working with QuickBooks5+ years of total bookkeeping experience2+ years in payroll processing (preferably using ADP Run or Paychex)2–3+ years managing accounts payable, accounts receivable, and performing bank / credit card reconciliationsTech-savvy; comfortable using cloud-based platforms like Bill.com, Divvy, and custom ERP systemsWhat Sets You Apart
