Position Overview
We are seeking a highly organized and detail-oriented professional to join our team as a Business Services Portfolio Analyst. This role is the operational backbone of our business banking and real estate teams, ensuring accurate documentation, smooth closings, and a seamless experience for both clients and internal staff.
The ideal candidate will bring proven administrative and operational experience, a strong understanding of real estate and financial documentation, and a proactive, task-oriented mindset.
Key Responsibilities
- Serve as a responsive, client-focused point of contact for onboarding, document collection, and status updates.
- Schedule meetings, track follow-ups, and maintain shared task lists / calendars for lending teams.
Documentation, Closing, and Records Management
Prepare, collect, and track real estate, equipment and commercial lending packages, including settlement statements, deeds, titles, UCC's, loan packages, and closing checklists.Coordinate with title companies, appraisers, and closing agents to ensure deadlines are met.Organize and maintain digital and physical files, ensuring accuracy, confidentiality, and compliance with retention standards.Oversee document management processes, including scanning, indexing, naming, filing, and archiving.Credit & Portfolio Support
Collect and organize financial statements, tax returns, entity documents, and other underwriting materials for new and renewal requests.Maintain covenant / tickler lists (financial reporting, insurance, filings) and proactively follow up on outstanding items.Monitor exceptions and work with teams and clients to resolve them quickly.Assist in preparing annual and interim loan reviews, including gathering updated financial statements, analyzing covenant compliance, and ensuring all required documentation is complete and timely.Monitor upcoming review dates and coordinate with relationship managers to ensure all reviews are completed within policy deadlines.Operational Efficiency & Process Improvement
Collaborate with cross-functional partners (branches, compliance, accounting, operations) to streamline workflows.Create and update checklists, templates, and SOPs to improve speed and reduce errors.Leverage productivity tools, e-signature platforms, and loan origination systems to improve cycle time.Systems & Data Integrity
Be highly proficient in Microsoft Office and Google Workspace; adapt quickly to loan origination, imaging, and CRM platforms.Maintain data accuracy across systems and support reporting requests or portfolio dashboards as needed.Risk, Privacy & Compliance
Handle sensitive information with discretion, adhering to internal policies and regulations (e.g., GLBA, information security, record retention).Ensure files remain complete, accurate, and audit-ready.Required Skills & Attributes
Proficient in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Gmail, Calendar).Excellent written and verbal communication skills.Strong organizational and time-management abilities with exceptional attention to detail.High integrity, accountability, and professionalism.Ability to prioritize multiple tasks in a fast-paced environment, working both independently and collaboratively.Strong problem-solving skills and the ability to anticipate next steps in workflows.Preferred Qualifications
Experience in banking or financial services, particularly in business banking or lending environments.Familiarity with real estate and equipment / vehicle documentation and processes.Experience coordinating with third-party vendors such as title companies, appraisers, or closing agents.Exposure to loan origination systems, document imaging, CRMs, or portfolio management tools.Demonstrated ability to streamline workflows and improve operational processes.Measures of Success
