Job Summary
The Vendor Operations Specialist plays a pivotal role in shaping and elevating the organizations reward catalog experience. Beyond managing vendor relationships and overseeing catalog operations, this role is accountable for driving innovation, growth, and modernization in vendor operations and catalog fulfillment practices. The Specialist will proactively identify opportunities to improve vendor performance, streamline processes, and introduce new solutions that enhance participant delight.
As the primary owner of vendor partnerships and catalog quality, this position is expected to not only resolve issues but also anticipate needs, propose improvements, and implement strategies that deliver measurable advancements in cost-effectiveness, efficiency, and customer satisfaction. Success in this role requires strong collaboration across departments, a passion for continuous improvement, and a commitment to creating a best-in-class reward experience that evolves with the organizations goals.
Duties and Responsibilities
Vendor Relationship Management
Serve as the primary point of contact for all vendor partnerships and communications.Support vendor partnerships that ensure innovation, scalability, and service excellence.Manage vendor onboarding and maintain strong relationships to ensure reliable, adaptable service.Monitor vendor performance across shipping, billing, responsiveness, product availability, and data feed accuracy.Use performance data to proactively identify trends, recommend improvements, and implement changes that elevate the participant experience.Prepare and submit vendor-facing materials for catalog and marketing approvals.Plan and lead regular vendor check-ins and performance review meetings.Conduct and report on monthly vendor audits and provide strategic recommendations to improve service and efficiency.Catalog & System Management
Own the catalog as a dynamic product, continuously improving accuracy, categorization, and usability.Monitor and address issues from catalog error feeds to ensure a seamless participant experience.Own Debit Card Implementations.Serve as the primary internal resource for catalog-related inquiries and requests.Partner with Engineering and Product to modernize catalog infrastructure, implement enhancements, and resolve issues swiftly.Manage system access for internal team; train new users as needed.Document and maintain catalog management processes and standards.Identify gaps in current catalog and card offerings, and proactively research and pursue new supplier opportunities to enhance product availability.Redemption Operations Support
Collaborate on high-impact fulfillment challenges with a mindset of problem-solving and process evolution.Track and manage bug tickets with a focus on systemic resolution and long-term improvement.Reporting & Documentation
Maintain up-to-date documentation on vendor contacts, SLAs, escalation paths, and onboarding materials.Generate and distribute monthly vendor performance reports and internal redemption operations reports.Communicate catalog and order updates to internal teams and stakeholders as needed.Cross-Functional Collaboration & Continuous Improvement
Work closely with Product, Engineering, Finance, Account Management, and Operations to support internal systems and business goals.Actively participate in cross-functional meetings and represent vendor and catalog operations priorities.Identify opportunities for operational improvements and lead initiatives to optimize vendor and catalog processes.Perform other duties as assigned.
