Job Description
Providing comprehensive administrative support to the Office of the Vice Presidency (or other assigned areas), ensuring the efficient management of documents, public service, coordination of meetings and management of internal and external communications. This position requires organizational skills, mastery of technological tools, and a professional service-oriented attitude.
Tasks and responsibilities
- Manage, archive and keep updated physical and digital documents.
- Attend to internal and external public with courtesy and efficiency.
- Answer telephone calls and manage the institutional telephone system.
- Coordinate meetings, prepare agendas and follow up on administrative commitments.
- Draft and review official communications, memos, and emails.
- Use technological tools such as Microsoft Word, Excel and Microsoft Teams for daily tasks.
- Support the logistics of events, official visits and institutional activities.
- Maintain the confidentiality of information handled in the office.
- Collaborate with other departments in administrative tasks as required.
- Perform other tasks inherent to the position that are requested by your Supervisor.
Qualifications
Associate degree or bachelor's degree in Business Administration, Office Systems or related field.Minimum 2 years experience in administrative or office functions.Proficiency in Microsoft Office (Word, Excel, Outlook) and collaborative platforms like Microsoft Teams.Excellent verbal and written communication. (Spanish English)Ability to work under pressure and handle multiple tasks simultaneously.Availability to work overtime.Proactive, organized and detail-oriented attitude.Additional Information
