Office Assistant

The Office Assistant supports the Arc team. The role involves a variety of administrative functions. This includes normal administrative tasks and special projects.

We function in many areas of the globe in venture capital (including Europe and Israel) and in real estate in the United States.

The successful applicant must be able to work independently and possess strong organizational, interpersonal and problem-solving skills. Primary responsibilities will include :

  • Reception Duties : Greet visitors, answer and direct phone calls, manage incoming and outgoing mail
  • Administrative Support : Assist in the preparation of regularly scheduled reports, maintain files, update and maintain office policies and procedures
  • Scheduling : Schedule and coordinate meetings, appointments, and travel arrangements
  • Communication : Write and distribute email and other correspondence
  • Office Supplies : Maintain inventory of office supplies and order new materials as needed.
  • Documentation : Assist in the preparation of presentations, spreadsheets, and other documents as needed
  • Team Support : Provide general support to visitors and assist other staff members as required

Qualifications

The successful applicant will have the following minimum qualifications :

Bachelors degree or equivalent experience

Excellent attention to detail, strong organizational skills and pro-active problem solving

Ability to work tactfully and effectively with a diverse group

Excellent written and oral communication

Ability to prioritize, multi-task, follow-through and report back, and manage time effectively

Ability to work independently and as part of a team

Ability to handle sensitive matters with discretion

High degree of proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)

Ability to keep calm under pressure

Ability to quickly and accurately analyze problems and identify appropriate solutions

Excellent interpersonal communication skills, including tact, poise, professionalism, diplomacy, and a good sense of humor

Flexibility and a can do approach to dynamic circumstances

Experience working with international colleagues a plus
