Program Manager
Under the direction of the Executive Administrator and Safadi Program Director, the Program Manager is responsible for the management and day-to-day operations of the Safadi Program of Excellence in Clinical and Translational Neuroscience. Additionally, they will perform complex and diverse duties in support of the Neurovascular Surgery research and clinical programs.
Responsibilities include :
Safadi Program Management :
- Leads programmatic operations for the Safadi Program of Excellence in Clinical and Translational Neuroscience, creating opportunities for collaboration among scientists and clinicians engaged in diagnosing and treating neurological disorders.
- Serves as a liaison between and effectively interacts with internal and external stakeholders to create projects and / or program design, provide progress updates, and ensure the success of projects and initiatives.
- Coordinates logistics of major events and assists in planning events. Prioritizes and manages multiple projects simultaneously and follows through on issues promptly.
- Develops and manages communications by creating and revising program materials, including email marketing campaigns and website content.
- Together with Program Director, works with scientific divisions, departments, centers, and other stakeholders to identify and plan programming catered to the scientific community to build the program's awareness and engagement.
- Cultivates and maintains relationships with donors, patients, and volunteers. Writes timely and strategic correspondences to advance relationships.
Neurovascular Surgery Research Operations :
Assists faculty in the pursuit of grants and awards. Conducts special studies and projects related to research administration, including developing and enhancing funding opportunities and operational processes by working closely with the faculty in the department.Acts as a liaison to departmental leadership in support of recruitment, onboarding, offboarding, and other personnel matters for the neurovascular surgery research faculty, staff, visitors, and other academic appointees.Oversees management of day-to-day financial processes for the neurovascular surgery research program, including the payment of invoices, the purchase of goods and services, and the processing of reimbursements. Ensures compliance with relevant University policies and guidelines.Neurovascular Surgery Clinical / Administrative Operations :
Coordinates administrative functions for the neurovascular surgery clinical programs, including developing and implementing best practices and compiling data and reports. Resolves many office problems independently and facilitates solutions, conferring with supervisor to resolve the most complex issues.Collaborates with physicians and clinical professionals in the patient triage process, responds to patient care requests and / or other inquiries, and independently determines the appropriate course of action.Provides administrative support for departmental faculty and staff. Stays informed of activities relating to programs and initiatives, apprising faculty or organizational leadership of issues when deemed necessary. Coordinates information flow and manages the departmental website.Manages expense reimbursements according to the established departmental budget. Monitors faculty expense accounts and advises faculty of problem spending patterns.Provides backup support for administrative staff in the department.Other :
Uses moderate / solid understanding and experience to administer the delivery of services to program participants and / or beneficiaries.Sets and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.Analyzes program budgets and recommends or makes budgetary recommendations.Performs other related work as needed.Minimum qualifications include a college or university degree in a related field and 2-5 years of work experience in a related job discipline. Preferred competencies include the ability to handle multiple projects simultaneously, set priorities, and perform well under tight deadlines, high degree of professionalism, excellent interpersonal, oral, and written communication skills, editing and proofreading skills, problem-solving and decision-making skills, strong creative, analytical, and organizational skills, commitment to providing a high level of service and working in a team environment, awareness of and dedication to maintaining program and university branding and quality, willingness and ability to travel to campus and / or non-campus locations, and extensive knowledge of Microsoft Office Suite.
