Program Coordinator- AZ- Graduate Medical Education

The Program Coordinator, under the direction and supervision of the Manager, Graduate Medical Education, provides daily administrative and programmatic support to the Midwestern University GME Consortium Sponsoring Institution, Graduate Medical Education Office [GME], and sponsored residency programs in order to maintain ACGME compliance and accreditation.

Essential Responsibilities

  • Provide excellent customer service and adhere to the behavioral expectations of the MWU GME Consortium Institutional Sponsor.
  • Actively participate in local Program Coordinators meetings and professional organizations, including attendance at professional development meetings as requested by the GME Manager and GME Director / DIO.
  • Perform all required duties of the Osteopathic Neuromusculoskeletal Medicine (ONMM3) residency program as mandated by ACGME.
  • Coordinate administrative paperwork for ONMM residents, including ERAS applications, New Innovations demographic information, resident / faculty profiles, and monitor program activities to maintain ACGME accreditation and compliance.
  • Track and monitor resident activities such as paid time off, leave of absence, moonlighting approvals, outside rotations, attendance at medical society and specialty board conferences, and related expense reports and reimbursements.
  • Collect, compile, and coordinate all required data and reports in New Innovations, ADS, and other GME systems. This includes annual program evaluations, resident certificates of liability, policies and procedures, scholarly activities, benefits, program letters of agreements, and preparation for ACGME accreditation site visits.
  • Maintain all faculty and program documentation to ensure ongoing ACGME compliance, including rotation schedules, didactic conference schedules, and resident / fellow contracts.
  • Assist Residents, Program Director, and Faculty with paperwork related to expenses, scholarly activities, board travel, and faculty development events, including processing reimbursement payments and check requests.
  • Plan and coordinate residency-related educational events, faculty functions, and sub-committee activities (e.g., CLER sub-committee, Scholarly / Research Program, Institution Self-Study).
  • Assist with review and updates of policies and procedures, MWU Residencies website content, and other required ACGME documents.
  • Create and develop handouts and slide materials for faculty development programs, and track attendance.
  • Assist with issuing resident program completion certificates annually.
  • Compile data for faculty / preceptor CME credits related to teaching residents / fellows and students and prepare AOA reports and credit emails bi-annually.
  • Coordinate office functions including answering phones, ordering and tracking office supplies, maintaining equipment, scheduling meetings, reserving conference rooms, arranging IT support, and catering events.
  • Coordinate guest security information and assist with special projects such as annual resident orientation and simulation activities.
  • Coordinate ordering food and beverages for GME campus activities, ensuring vendor payments are submitted as per MWU policies.
  • Perform other duties as assigned.

Education and / or Experience

High School diploma is required. Associates degree or Bachelor's degree is preferred. Must have 5-7 years of previous administrative support experience. Previous experience in medical education and / or healthcare related to education is highly desired. Demonstrated ability to quickly acquire knowledge of policies, procedures, principles, and practices of graduate medical education. Excellent customer service and organizational skills with excellent written and oral communication skills.

Computer Skills

Computer proficiency in MS Office (Word, Excel, Outlook). Proficiency with New Innovations or other RMS systems required.

Language Skills

Intermediate skills : Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routing reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Reasoning Ability

Intermediate skills : Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Mathematical Ability

Basic skills : Ability to add, subtract, multiple, and divide all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs.
