About the Role :
We are seeking a dynamic and versatile Quoting & Sales Support Specialist. This role is responsible for accurately processing customer orders, preparing detailed quotations, and ensuring a smooth flow of order information between customers, sales, and operations. This role requires strong attention to detail, excellent communication skills, and proficiency with ERP / CRM systems to ensure orders are processed correctly and on time. The position is critical to maintaining high customer satisfaction through timely, accurate responses and consistent follow-up. This role will also provide additional support as needed to various sales & marketing projects.
Key Responsibilities :
Order Entry
- Enter customer orders into the company’s ERP or order management system with accuracy and speed.
- Verify pricing, part numbers, revision numbers, quantities, lead times, and shipping details for all orders.
- Communicate with sales, production, and customers to resolve discrepancies or incomplete order information.
- Track and monitor order progress, updating customers and internal teams as needed.
- Ensure compliance with company policies, credit terms, and order fulfillment standards.
Quoting
Prepare timely and accurate quotes for customers, ensuring pricing aligns with company policies and market conditions.Review product specifications, lead times, and costs to generate competitive and profitable quotes.Coordinate with purchasing, engineering, and production teams to gather required data for custom or complex quotes.Maintain a database of quotations and follow up with customers and sales representatives to close opportunities.Customer Communication & Support
Serve as a point of contact for order and quote inquiries, providing exceptional customer service.Respond promptly to customer requests for pricing, availability, and order status.Collaborate with the sales team to resolve customer issues quickly and professionally.Process Improvement
Identify and recommend improvements to order entry, quoting, and customer communication processes.Assist with reporting on order accuracy, quoting turnaround time, and other KPIs.Qualifications :
Education :High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business, Supply Chain, or related field preferred.
Experience :1–3 years of experience in order entry, customer service, or sales support.
Experience in quoting or estimating products / services strongly preferred.Familiarity with ERP / CRM systems (Epicor, ECI, or similar).Familiarity with quoting printing jobs (nice-to-have).Skills :Excellent data entry accuracy with a sense of urgency.
Organized with attention to detail.Strong customer service mindset.Strong communication & teamwork skills.Proficiency with Microsoft Office Suite (Excel, Word, Outlook).Ability to multitask and manage priorities in a fast-paced environment.
