We are looking for a Marketing & Development Coordinator. This position plays a crucial role in supporting fundraising and marketing initiatives to advance Vivalon's mission and goals. They will assist in fundraising campaigns, donor research and prospecting, grant coordination, donor communication and stewardship, database management, event support, and general administrative tasks. This position provides exposure to Salesforce and other prominent software platforms. This role reports directly to the Chief Development Officer.
Essential Functions :
Department Support
- Assist in scheduling and setting up group meetings
- Ensure fundraising collateral is stocked at the Healthy Aging Campus
- Maintain inventory of stationery, envelopes, snacks, and beverages for donors
Database & Donation Processing
Maintain and update donor database (Salesforce), ensuring accuracyUpdate donor records (e.g., marital status, deceased, divorced)Process donations, generate acknowledgment letters, and track gift historyPrepare financial reports, mailing lists, and fundraising material.Marketing & Communications
Manage and grow social media presence, including content creation and engagement trackingSupport website updates and user experience improvementsCreate content and graphics for flyers, newsletters, brochures, and event materialsAssist with email marketing campaigns, including drafting content and tracking performanceCoordinate photography and video projects for events and campaignsHelp maintain brand consistency across all communicationsEvent Support
Manage event registrations, guest lists, and follow-up communicationsCoordinate signage, collateral, and displays for eventsProvide on-site support : set-up, check-in, vendor coordination, and attendee engagementCollaborate with staff and volunteers for smooth event executionAssist with post-event evaluation and reportingTrack event participation and revenue in the donor databaseFundraising Appeals
Project manage fundraising appeals, including production coordination and list managementEstate Planning Support
Serve as key liaison with FreeWill vendorEnsure estate planning collateral is stocked at the Healthy Aging CampusAssist with Estate Planning Workshop seriesSend pre- and post-event emails to participantsDonor Relations & Stewardship
Assist with donor stewardship activities (thank-you calls, notes, recognition)Research prospective donorsResearch obituaries and update donor records accordinglyAssist with donor qualification lettersGrants & Sponsorships
Assist with grant proposals and reportingResearch grant funding and sponsorship opportunitiesRequirements :
1-3 years of experience in an administrative role, preferably supporting fundraising, sales, or a related field.Excellent written and oral communication skills, with experience managing various types of correspondence.Strong computer and internet proficiency, along with a proactive willingness to learn new technology tools, is a must for this role. The ability to quickly adopt and navigate software applications with ease will enable you to excel in your responsibilities and contribute effectively to our team.Strong attention to detail and accuracy in data entry and maintenance.Ability to run custom reports, export / import data, customize fields, and set up new campaign tracking in databases / software programs.Experience in managing logistics for events and meetings, with the ability to anticipate attendee needs and requirements.Strong judgment in a fast-paced and dynamic environment, capable of multitasking, coordinating with multiple individuals, and maintaining high accuracy standards.Proven ability to establish and maintain positive relationships with donors, clients, partners, volunteers, coworkers, and the public.Ability to maintain confidentiality, exercise discretion, and demonstrate good judgment.Willingness to take the initiative and contribute to Vivalon's goals.Compensation and Benefits
