Executive Assistant to Chief Executive Officer

Location : Los Angeles, CA (onsite, Beverly Hills-based)

Compensation : $100,000–$140,000 annual salary, commensurate with experience

Start Date : Immediate

Reports to : Founder & CEO, Hayley Sullivan Marrero

Our Founder operates at the intersection of creativity, strategy, and technology. This role sits at the center of that ecosystem — ensuring operations, projects, and communication flow with precision and elegance.

The Role

We are seeking a highly organized, emotionally intelligent, and proactive Executive & Personal Assistant to support the Founder & CEO across business and household domains.

The ideal candidate is three steps ahead, a natural systems builder who thrives in fast‑moving, detail‑heavy environments. You’ll manage information, people, and processes with both warmth and authority, balancing luxury‑level discretion with startup‑level speed.

This is not a traditional support role — it is a strategic operational partnership for a leader balancing global business growth, high‑profile partnerships, and an expanding personal ecosystem.

Core Responsibilities

Executive Support

  • Manage a highly active calendar across multiple time zones with precision and foresight.
  • Manage correspondence, projects, and document organization on behalf of the CEO.
  • Oversee daily email triage, ensuring inboxes are prioritized, summarized, and actioned, providing executive clarity each morning.
  • Anticipate upcoming needs for meetings, travel, and projects; prepare briefing materials, participants’ bios, and talking points.
  • Coordinate cross‑functional communication with internal leaders (CRO, Finance Director, Brand Director, CTO, PR) ensuring follow‑through on all deliverables.

Project Management

  • Serve as project manager across personal, household, and company initiatives.
  • Track deadlines, dependencies, and deliverables across multiple active projects (home rebuild, brand initiatives, client events, travel).
  • Develop systems to close operational gaps and increase efficiency.
  • Liaise with the Finance Director to manage invoices, receipts, expense tracking, and vendor payments.
  • Personal & Household Management

  • Oversee all household logistics, property schedules, and vendor relationships (contractors, cleaners, maintenance, etc.).
  • Manage mail : open, annotate, and record items requiring action in shared task systems.
  • Coordinate travel, family schedules, and personal appointments.
  • Support household finances : bill tracking, vendor payments, reimbursements, and expense categorization.
  • Manage packing, wardrobe logistics, and coordination for travel and events.
  • AI & Systems Enablement

  • Use (or be willing to learn) AI tools including Google Gemini and ChatGPT for drafting, scheduling, and task organization.
  • Build digital dashboards that integrate email, calendar, and project views.
  • Implement workflow automations for scheduling, reminders, and document filing.
  • Communication & Representation

  • Handle all external communication with discretion, tact, and professionalism.
  • Represent the CEO and brand with polish in all interactions with clients, partners, and vendors.
  • Uphold confidentiality standards expected of a high‑profile, luxury environment.

  • The Ideal Candidate

  • 7+ years of experience supporting a high‑level executive, preferably in luxury fashion, creative, or technology environments.
  • Demonstrated excellence in project management, calendar / email management, and operational systems.
  • Calm under pressure, unflappable, and solutions‑oriented.
  • Naturally anticipatory — sees needs before they’re spoken.
  • Tech‑forward and curious, eager to leverage AI and automation for efficiency.
  • Clear writer and communicator who thrives on precision.
  • Deep discretion, emotional intelligence, and an intuitive understanding of boundaries.
  • Professional polish with warmth — the ability to move fluidly between boardrooms, fittings, and family settings.
  • Qualifications

  • Bachelor’s degree or equivalent experience preferred.
  • Advanced proficiency in Google Workspace, and project management tools (Asana, Airtable, or similar).
  • Proven ability to handle confidential information with integrity.
  • Must be Los Angeles‑based with flexibility for occasional travel.
  • Strong references attesting to discretion, work ethic, and grace under pressure.
  • Salary range : $100,000–$140,000 DOE.
