DeHay & Elliston, LLP, a nationally recognized asbestos litigation law firm, has an immediate opening for an on-site legal assistant who will also manage day-to-day office administrative duties. The position requires a candidate with a minimum of 3 years of experience as a legal secretary or legal assistant at a law firm. The candidate should have experience working with electronic document services (PACER, File&Serve, etc.) as well as expertise in Microsoft Office (Excel, Word, Adobe).

Qualifications and Skills :

  • 3 years’ experience in a law firm setting as a legal secretary / assistant, with priority given to applicants with office management experience.
  • Civil litigation experience in complex litigation preferred.
  • Strong organizational and planning skills.
  • Must have strong communication skills, with the ability to work well independently, as well as be part of a team.
  • Candidate should be able to prioritize tasks and work proactively.
  • Must be able to multitask and be comfortable working in a fast-paced environment.
  • Must know Adobe and Microsoft Office, including but not limited to Word, Excel, and Outlook, LexisNexis, and Pacer.
  • Commissioned Notary Public for the State of Maryland.
  • Lift full double-banker boxes and move large volumes of documents.

Job Duties :

  • Electronic filings.
  • Prepare proofs of service.
  • Create trial binders.
  • Enter billing and complete expense reports for assigned attorneys.
  • Track large volumes of cases.
  • Search and maintain voluminous documents.
  • Communicate with counsel and clients.
  • Maintain schedules
  • Gather information and prepare reports.
  • Track and prepare invoices
  • Prepare share links for electronic documents and mail physical documents and materials.
  • Arrange and pull physical documents, including lifting large boxes
  • Provide back-up support for other secretaries.
  • Any other legal secretarial duties requested by the supervising attorney.
  • Notarize documents as requested.
  • Serve as point person for office coordinator duties, including invoices, supplies, mailings, building maintenance, and any additional duties assigned by the managing partner of the Baltimore office.
  • Experience :

  • Legal Secretary or Legal Assistant : 3 years (Required)
  • Office Administration (Preferred)
  • Notary (Preferred)
