Administrative Support Specialist
This position supports Mercy's philosophy of patient centered care by providing excellent customer service and enables the facilitation of positive patient outcomes by providing administrative and clerical support to Mercy.
Job Duties :
- Answers telephone and disburses callers in a friendly, prompt and professional manner. Conveys messages accurately and appropriately.
- Prepares encounter forms, daily appointment sheets and charts for each provider.
- Retrieves and disburses messages from answering service / machine and facsimile machine,
- Enters charges and payments made at time of service timely, accurately, and according to defined policies.
- Balances entry of charges and payments with the daily report and makes corrections as needed.
- Maintains and accurately balances cash drawer on a daily basis.
- Schedules, cancels, reschedules and confirms patient office visits in an accurate manner and according to office scheduling procedures.
- Provides patient education as needed for the scheduled test / procedures.
- Handles routine billing questions as they arise and forwards more complex questions to the Mercy billing office as appropriate.
- Responds to medical record requests in a timely manner.
- Demonstrates a general understanding of the different insurance carriers (including Title 19 and Medicare) and their eligibility requirements.
- Utilizes and has full knowledge scheduling software and the fundamentals of the clinical software.
- Cross covers for other clerical staff as needs arise.
- Maintains work area in a clean, neat and orderly manner.
- Follows Mercy's safety guidelines, carries out job-specific safety duties and responsibilities, and promptly reports any unsafe conditions, situations, incidents and injuries.
Department Specific Duties :
Mercy ENT Clinic :
Coordinates Audiology appointments and testing to correlate with ENT providers availability.Daily scanning of outside Audiogram reports, outside records and authorizations to appropriate medical encounters.Maintains ENT Clinic, Inspire Sleep Apnea, and Sino-nasal clinic work-ques / referrals effectively by contacting patients within 48 hours after referral triage.Maintains MMC ENT Allergy patient lists, scheduling and proper payment collection for SLIT Therapies.Maintains clinic office supply needs.Assists manager with on-call schedules and locum coverage communications.Daily monitoring of Audiology, ENT, Allergy and Physical Therapy schedules to ensure full utilization.Weekly fee processing for No-Show appointments.Knowledge, Skills and Abilities :
Excellent communication and customer service skills, computer skills, organization, time management, attention to detail and the ability to remain poised and efficient in a fast-paced environment.Professional Experience :
One year of relevant customer service experience preferred, previous experience in a medical office setting preferred.Education :
High School Diploma or equivalent preferred.Licensure, Certification, Registration :
Iowa Dependent Adult Abuse & Iowa Child Abuse Mandatory Reporter Training required. Employee must submit certification of completed training to Human Resources prior to start or transfer date.Pay Rate Type : Hourly
