?? Position SummaryThe Land Administrator plays a critical support role in maintaining accurate, organized Land records and documentation for the Land and Title Department. This position will be responsible for managing digital and physical files related to Oil & Gas Mineral Leases, Title Opinions, Deeds, and other essential Land documents.
This is a full-time, on-site position ideal for a detail-oriented, proactive individual seeking to grow within a technical, fast-paced environment. The role offers direct exposure to Land operations and Title processes and requires a high level of accuracy, organization, and task ownership.
??? Key ResponsibilitiesDocument Management & File Integrity
Maintain and organize digital and hard copy records for Oil & Gas Mineral Leases, Title Opinions, Deeds, and related agreementsScan, label, and upload documents into internal Land databases and shared systemsEnsure proper file structure, version control, and accessibility of Land recordsRetrieve and prepare historical or current documentation for Land personnel as neededLease and Title Data Support
Enter and update Lease data, including terms, expiration dates, payment obligations, and option periodsTrack critical deadlines such as Curative requirements, Renewals, and other time-sensitive obligationsSupport Title review processes by identifying missing, outdated, or inconsistent documentationDepartmental Coordination
Communicate with Land Agents, Brokers, and internal team members to gather or clarify required documentationCoordinate administrative tasks and timelines with Land Technicians and Senior LandmenMonitor the status of document requests and update records accordinglyReporting and Data Entry
Assist with preparation of summaries, reports, and project tracking spreadsheetsEnter and verify data within internal Land systems to ensure completeness and accuracySupport routine reporting needs by updating internal records and document logsAdministrative Support
Schedule internal meetings and maintain calendars related to project and departmental tasksAssist in compiling, formatting, and organizing document packages for review or deliveryProvide ongoing administrative support to ensure the efficiency of the Land and Title Department? QualificationsBachelor's Degree from a four-year accredited college or university (required)1–3 years of administrative or industry-related experience (Energy, Land, or Title preferred)Proficient in Microsoft Office Suite (Excel, Word, Outlook) and cloud-based file systemsExcellent organizational and communication skillsHigh level of accuracy and attention to detailAbility to work independently, prioritize responsibilities, and maintain confidentialityFull-time, on-site availability Monday through Friday is required??
