Administrative Assistant
Providing administrative support to the executive team, management, and HR including managing schedules, handling correspondence, organizing meetings, performing general secretarial and clerical duties, including typing, copying, and filing correspondence, memos, letters, etc. Work to order, set up, breakdown catering events including sometimes picking up food and delivering to HAI. Answers incoming calls, screens, and routes calls and messages when necessary. Back up for distributing all mail and processes overnight packages. Work with uniform vendor to address uniform issues and verify receipts. Breakroom stocking and maintaining. Support management with organizing events, including set up, breakdown, ordering. Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies. Handling basic HR-related inquiries and requests. Assisting with HR projects and initiatives. Assists the human resources department in carrying out various administrative duties to support and assist with the training and development program, recruitment process, activity committee, maintaining paper employee records and other HR activities. Planning and execution of monthly service award celebration set up, breakdown, ordering and pick up of food items. Gathers, reviews, and maintains reports, forms, records, supporting documentation, and other information needed in support of delegated administrative responsibilities. Assists with answering questions on travel arrangements for all associates through Honda's travel system and works with travel agency on international travel and issues. Maintains an electronic & hard copy filing system and retrieves documents as needed. Maintain confidentiality in all aspects of client, staff and agency information.
Administrative experience, manufacturing, bilingual, Japanese
Qualifications, experience, and skills : A high school diploma or GED. Bachelor's degree in Human Resources, Business Administration, or a related field is preferred. Minimum of 2 years of administrative experience. Previous experience in a manufacturing environment a plus. Valid driver's license and acceptable driving record is required. Excellent organizational and time-management skills, and strong communication abilities. Proficiency in Microsoft Office Suite, HRIS platforms, data entry, report generation, and familiarity with online recruitment tools. Understanding of confidentiality business and PII. Ability to multi-task and prioritize projects. Ability to work and interact with departments throughout the organization. Sound planning and organizational skills with strong attention to detail. Ability to work effectively and efficiently with minimum supervision.
Onsite climate-controlled office environment. The performance of this position may occasionally require exposure to the manufacturing areas where personal protective equipment such as safety glasses with side shields, hearing protection, and safety shoes are required.
Expert level
The pay range for this position is $20.00 - $24.00 / hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
