The Opportunity
The Health and Wellness Coordinator is a full-time customer-facing role on the Health & Welfare Benefits team in MassMutual’s Human Resources organization located at 1295 State St., Springfield, MA. The Health and Wellness Center Coordinator's primary responsibility is to oversee daily operational activities of MassMutual’s employee health clinic (The Wellness Center) and serves as a key point of contact for medical staff to ensure The Wellness Center runs smoothly and efficiently. The Health and Wellness Center Coordinator will also provide administrative and operational support on an as needed basis to Managers and team members within the and Benefits team. This is a full-time onsite role Monday –Thursday. Fridays are remote.

The Health & Welfare Benefits team leads the design and strategy for MassMutual’s holistic suite of employee welfare and wellbeing benefits and is made up of passionate people from several specialties – Benefits, Wellness, Health Promotion, Fitness, Health Coaching and Physical Therapy. The Impact
Handle day-to-day operational oversight of the Wellness Center, serving as key point of contact for Wellness Center medical staff and liaison between The Wellness Center and the Benefits and Wellness management team.
Maintain a welcoming environment and support The Wellness Center staff to ensure successful operations.
Performs administrative / operational activities including scheduling, invoice processing, accounting entries, budgets, staffing, facilities / space planning and systems access in support of the Wellness Center.
Serve as liaison for clinical device and equipment maintenance, interacting with external vendors and the MassMutual Facilities team.
Interface with The Wellness Center vendors and their systems / applications.
Maintain calendar activity and medical record maintenance for The Wellness Center.
Handle incoming telephone calls and emails to The Wellness Center and respond to information requests.
Coordinate emergency response with MassMutual Security personnel when necessary.
Complete supply ordering and oversee The Wellness Center inventory.
Communicate with external medical providers to collect administrative information as needed to complete patient services.
Coordinate meetings, conferences and events with internal and external sources.
Collect information from various sources for routine inquiries and reports; may analyze data and prepare regularly scheduled reports.
Generate correspondence, reports and presentations to internal partners (ex : Facilities, Security, IT) and external constituents (ex : vendors, medical provider practices, other employers for benchmarking purposes)
Collaborate with the HR Communication team to coordinate communication of Benefits initiatives.
Coordinate with Fitness Center staff to support activities and events.
Provide backup support to other HR administrative / operations support professionals, as needed.
Support and contribute to other projects across the compensation and benefits teams, as needed.
The Minimum Qualifications
High school diploma or equivalent experience
1+ years experience in health, wellness or related work setting
The Ideal Qualifications
Employee health clinic or medical office experience preferred.
Proficiency with computer applications (e.g., Word, Excel, Outlook, PowerPoint, Adobe).
Familiarity with budgeting and accounting activities.
Ability to take initiative and adapt to changing conditions.
Ability to protect personal and corporate confidential information.
Empathy for visitors to The Wellness Center while maintaining professional demeanor.
