Job Title
The incumbent serves as professional administrative support to the Deputy Commissioner of Administration responsible for four major programs including the Fiscal Management Group, Human Resources Management Group, Operation Management Group and Audit Services. Duties include : Administering communications by preparing and keeping track of correspondence and answering questions from staff, Executives, and Chamber; overseeing four tracking systems prioritizing all documentation to ensure deadlines are met; developing and implementing internal controls for their activities; coordinating and preparing material for meetings; compiling data and preparing reports and recommendations on Division of Administration activities; providing accurate information in response to inquiries from within the Department, including clarification of policies and procedures, and assistance or advice, when appropriate; conferring with the Deputy Commissioner on complex as well as confidential issues ensuring they are handled in a professional and timely fashion with minimal oversight; and performing staff services for other executive staff.
Minimum Qualifications
Permanent Transfer Candidates : Current NYS Department of Health employee with one year of permanent or contingent-permanent, competitive, service as an Administrative Specialist 1, SG18 OR current NYS employee with one year of permanent or contingent-permanent, competitive, service in a position SG16 or higher and eligible to transfer under Section 52.6 or Section 70.1 of the NYS Civil Service Law.
Non-Competitive Candidates via NY HELPS :
Administrative Specialist Trainee 1, SG14 : A bachelor's or higher degree.
Administrative Specialist Trainee2, SG16 : A bachelor's degree and one year
Administrative Specialist 1, SG18 : A bachelor's degree and two years
Preferred Qualifications : The preferred candidate will have excellent organizational, analytical, interpersonal, communication, and writing skills, and will be able to work independently and handle multiple priorities. Proficiency in Microsoft Office suite (Word, Excel, and Power Point) and SharePoint is preferred. Knowledge of DOH administrative tracking systems and p-card policies is beneficial.
