About The Arc :
The Arc advocates for and serves people with intellectual and developmental disabilities (I / DD), including Down syndrome, autism, Fetal Alcohol Spectrum Disorders, cerebral palsy and other diagnoses. The Arc has a network of nearly 600 chapters across the country promoting and protecting the human rights of people with I / DD and actively supporting their full inclusion and participation in the community throughout their lifetimes and without regard to diagnosis. This position is with the national office whose policy and advocacy is on behalf of the sector as a whole; while our events, initiatives and other programs and services work to strengthen and support our member chapters, chapter professional staff, families as well as people with intellectual and developmental disabilities.
Position Summary :
The Executive Assistant will provide high-level administrative support to the CEO and other assigned leadership staff. Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects.
Responsibilities :
- Provides high-level administrative support and assistance to the Chief Executive Officer and / or other assigned leadership staff.
- Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
- Arranges travel and accommodations for Chief Executive Officer.
- Schedules and attends meetings on behalf of the Chief Executive Officer, taking notes and recording minutes.
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and / or distributes contents to appropriate staff.
- Supports the work of the Board of Directors, including the Executive Committee, the Foundation and other committees as assigned, including : scheduling meetings, assisting in travel arrangements and with expenses, preparing meeting materials, attending meetings, taking minutes and maintaining official records.
- Assists with planning & logistics for all aspects of The Arc's three major annual events : National Convention, Disability Policy Seminar & NCE Summer Leadership Institute.
- File quarterly LDA and the bi-annual LDA Contribution reports with the U.S. Congress.
- Provides information and referral assistance to members of the public to connect them with relevant resources at the national, state and local level, including requests received via The Arc's "Info" email and direct telephone, and monitor and track statistics relating to such requests.
- Periodically assist the Chief Executive Officer in responding to telephone and / or email communications.
- Provide direct oversight and management of the Front Desk Receptionist.
- Other responsibilities as assigned by Chief Executive Officer and assigned leadership.
