We are seeking an Assistant Chief of Staff to join a family household in Austin, TX. This role will work closely with the Chief of Staff, and will support both personal and professional aspects of a dynamic, high-profile environment, blending strategic planning with hands-on execution. Key areas of responsibility include property oversight, travel and logistics coordination, staffing support, and project management across personal, business, and philanthropic initiatives.
Responsibilities :
- Oversee operations and maintenance of multiple properties
- Manage property managers, contractors, and service providers
- Coordinate property maintenance, renovations, and compliance tasks
- Ensure proper documentation, insurance, and upkeep for vehicles and real estate assets
- Supervise household staff
- Oversee third-party eldercare providers and support personnel
- Hire, onboard, and manage vendors as needed
- Maintain schedules, performance tracking, and team communication
- Manage eldercare logistics with caregiver team : appointments, transportation,
- medications
- Coordinate children's school calendars and extracurricular activities
- Schedule and track personal and family appointments
- Maintain and update a shared family master calendar
- Coordinate domestic and international travel logistics
- Book flights, accommodations, ground transport
- Manage itineraries and support for travel staff
- Ability and willingness to travel with the family as needed
- Oversee vehicles : maintenance, insurance, registration
- Handle errands, shopping, gift purchases, and returns
- Manage household needs and provide in-person support in Austin as needed
- Support the family's involvement in nonprofit boards and cultural organizations
- Assist with planning and executing dinners, fundraisers, salons, and festivals in
- partnership with business and organizational staff, with a focus on engaging the
- entertainment and arts community within Austin.
- Partner with executive support staff and event planners as needed
Requirements :
Minimum 3+ years in a similar role within a private household or UHNW environmentStrong background in operations, staffing, and property managementHigh level of discretion, professionalism, and emotional intelligenceExcellent organizational and communication skillsTech-savvy and fluent in calendar systems and digital toolsValid driver's license and passportWillingness to travel with the family and be on-call as neededAbility to communicate and collaborate with staff members across multiple organizationsStrong interest in the film & television, fine art, or retail industries is a plusSalary : Up to $70,000 / yearly + benefits
Location : Austin, TX || Fully onsite || Monday-Friday with weekends as needed
