We are seeking a Pre-Construction Assistant to join our team. In this role you will support the Pre-Construction leadership and manage daily office operations. We are seeking someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and takes pride in keeping people and projects running smoothly.

The Role

  • Provide administrative support to the Pre-Construction department and leaders
  • Track milestones and deliverables for department projects
  • Maintain organized digital and physical filing systems for project documentation
  • Input and update project data in the company CRM system
  • Assist in preparing reports, presentations, and project summaries for leadership
  • Coordinate executive travel, including booking flights, hotels, and ground transportation
  • Prepare and submit expense reports and reimbursements
  • Manage calendars, appointments, and meeting logistics
  • Order and coordinate office lunches, team events, and off-site reservations
  • Handle confidential information with discretion and professionalism
  • Serve as the primary point of contact for in-office operations and visitors
  • Oversee office supplies, equipment, mail, and vendor relationships
  • Ensure the office environment remains organized, clean, and efficient
  • Provide ad hoc administrative and project support as needed
  • Requirements

  • 2+ year(s) of executive assistant, legal assistant, administrative support, Human Resources or related experience required
  • Proficient with Microsoft Office Suite or related software
  • Ability to learn and utilize role specific equipment and software
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced environment
  • Ability to work independently, prolonged periods of sitting at a desk and working on a computer while utilizing telephones, smart phones and headsets
  • Must provide a valid government-issued photo ID for verification; a driver's license is required if the role involves driving
  • Passing of all pre-employment requirements (MVR, Background Check, Drug Screen)
