Coordinator General
We are seeking a highly experienced, proactive, and exceptionally organized Business Coordinator to provide comprehensive administrative support. This role is pivotal in ensuring the effectiveness and efficiency of the Director by managing a complex schedule, organizing events, and handling sensitive and confidential information with the utmost discretion. This position will also collaborate with the SEO Business Office on various assignments.
Responsibilities
- Manage the Director's demanding and complex calendar, including scheduling internal and external meetings across multiple time zones, managing conflicting priorities, and coordinating with other executive offices.
- Schedule and manage meeting attendees, ensure agenda and necessary materials are included and distributed, and coordinate technology support for seamless meetings.
- Organize events ranging from small offsites to large internal town halls.
- Act as a primary point of contact, screening and prioritizing emails and correspondence, and coordinating effectively with internal teams, other executives, dealers, and stakeholders.
- Coordinate intricate domestic and international travel arrangements, including flights, hotels, ground transportation, and visas. Create detailed itineraries and manage changes on the fly.
- Process expense reports accurately and in a timely manner, adhering to company policies.
- Cultivate strong working relationships with executive assistants, leaders, team members, and external contacts.
- Provide light project coordination or support on initiatives related to the Director's priorities and the SEO Business office, tracking action items, and coordinating input from various teams.
- Manage administrative tasks for the Director's office, including ordering supplies, coordinating with facilities, and ensuring smooth operation.
- Work with the SEO Business Office to manage logistics for onsite and offsite meetings and town halls, including ordering food and addressing event needs.
- Handle all matters, materials, and communications with the highest level of confidentiality, integrity, and professionalism.
Essential Skills
Minimum of 7 years of progressive experience providing executive-level administrative support with a large, complex, global organization.Proficiency in Microsoft Office Suite, Teams, and SharePoint.Experience in project support and organizing large events.Experience handling complex calendar and travel arrangements.Additional Skills & Qualifications
High School Diploma or GED required; an associate or bachelor's degree in business administration, communications, or a related field is strongly preferred.Experience working for an executive in a large company, preferably a global executive.Pay and Benefits
The pay range for this position is $29.70 - $29.70 / hr.
