Part Time Days | 15 Hours per Week | $20-25 / hr
The Administrative Assistant provides high-level support to the Executive Director in ensuring the smooth, efficient and compliant operation of the Assisted Living community. The incumbent will maintain accurate documentation, support quality assurance initiatives, coordinate communication across departments and assist with Department of Health (DOH) survey preparation. The ideal candidate is detail-oriented, highly organized and able to balance multiple priorities while maintaining professionalism and discretion.

Responsibilities
- Assists with preparing the information needed during the admission and transfer of residents. Conduct tours with potential residents. Input information into resident care application.
- Maintains residents' information, updating email list, census and resident phone list.
- Manages purged files for discharged residents and ensures non-current resident files are stored appropriately.
- Scans and maintains files for service / disclosure agreements for each resident.
- Takes photos of all new residents and updates photos of current residents as needed
- in the appropriate forms and binders.
- Maintains the Survey binder for DOH and ensures appropriate documentation is available and updated as required by DOH regulations.
- Assists in the monitoring of the community's Quality Assurance Program. Track quality metrics and compile QA reports.
- Document and track incidents as directed by the Executive Director (resident falls etc.)
- Records / prepares / maintains minutes from Town Hall, Menu Chat and other group meetings.
- Coordinates the planning and execution of various Seasons' events for residents, staff and guests, including the preparation and distribution of invitations.
- Prepares and sends correspondence as requested by Executive Director and other department heads.
- Support leadership team with assistance with staff timecard approvals and scheduling.
- Assists with administering and tracking staff education program.
- Prepares and distributes resident notifications.
- Attends various Seasons' events and assists as needed.
- Collecting receipts and reconciling monthly credit card bills.
Qualifications
High School diploma or equivalent required.Associates or Bachelor's degree preferred.Minimum of 2-3 years administrative support experience, preferably in senior living, healthcare or related field.Proficiency with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint), and electronic record keeping systems required.Experience with additional platforms such as Publisher and Canva is highly desirable.Strong organizational skills and attention to detail.Excellent written and verbal communication skills.Understanding of Rhode Island Assisted Living regulations is a plus.Ability to complete out of building errands as neededBenefits
