Overview
St. Vincent de Paul – Cincinnati (SVDP) has served residents of Greater Cincinnati for over 150 years with basic needs such as food, medicine, and homelessness prevention through its outreach center in the West End and 56 parish-based volunteer Conferences (chapters). SVDP provides holistic direct assistance and systemic change services while treating neighbors in need with dignity and compassion.
Scope of the position :
The Stewardship Associate supports St. Vincent de Paul's mission by ensuring that donors, volunteers, and community partners experience meaningful acknowledgment, recognition, and engagement. This role plays a critical part in maintaining strong relationships with supporters, fostering ongoing loyalty, and reinforcing the impact of their generosity. Success in this role will be measured by daily and weekly stewardship goals that contribute to monthly and quarterly performance reports. Each goal will focus on donor activity and engagement, measured through phone calls, hand-written notes, asks to donate and participation in events.
Success will also be evaluated based on the ability to retain donors year-over-year, help grow giving, and maintain strong, positive relationships. In addition, success includes contributing to a collaborative team environment, supporting departmental goals, and fostering a culture that reflects St. Vincent de Paul's values and mission.
The position also offers the opportunity for a promotion after 90 days, with a more focused portfolio of donors and the chance to take on greater responsibility for raising funds.
Responsibilities and Duties :
Donor Acknowledgment & Recognition
- Sign and personalized donor acknowledgment letters and receipts.
- Maintain recognition lists, plaques, and other public acknowledgments.
- Develop customized thank-you messages for milestone gifts, first-time donors, and monthly supporters.
- Coordinate personal thank-you calls, handwritten notes, and other high-touch touches from leadership, board members, and Development team staff.
- Manage donor recognition lists, giving society rosters, and other public acknowledgments.
- Coordinate delivery of donor gifts or tokens of impact when appropriate.
- Track donor anniversaries, birthdays, and other significant dates to prompt personalized outreach.
- Ensure consistent branding, tone, and gratitude across all donor recognition channels.
Integrated Stewardship Communications
Partner with Development Team officers and managers to ensure donor communications reflect current giving priorities and funding needs.Collaborate with Marketing team to collect stories, photos, and impact data for use in donor materials.Coordinate with the Marketing Team to align stewardship messaging with organizational branding, tone, and style.Ensure all stewardship materials (letters, reports, event remarks, digital content) maintain consistent voice, accuracy and are up to date.Assist in drafting and reviewing donor-facing communications to ensure clarity, warmth, and mission alignment.Maintain an internal repository of approved stewardship language, impact statistics, and visual assets for cross-department use.Maintain accurate donor records in Donor Perfect, updating contact information, preferences, and giving history.Generate stewardship activity reports for the department leadership.Event Support
Support event logistics including room setup, seating arrangements, and audio / visual needs.Greet and check in guests, ensuring a warm and welcoming experience.Take photos and / or capture short testimonials from attendees for future stewardship materials.Help maintain an inventory of event supplies and promotional items.Follow up with donors after events to thank them for attending, share highlights or impact updates, and reinforce their connection to the mission.Job Qualifications and Requirements
Qualifications :
1–3 years of experience in fundraising, donor relations, marketing, customer service, sales, or a related field.Energized by making phone calls to donors, volunteers, and community members to express gratitude, gather feedback, and share updates.Diligent in maintaining accurate and timely database entry.Outgoing and personable, with strong interpersonal skills and a genuine enthusiasm for engaging with people.Outstanding writing, and verbal communication skills, with the ability to tailor messages for different audiences.Demonstrated ability to take initiative, work independently, and follow through on projects without close supervision.Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.Ability to handle confidential donor and organizational information carefully and responsibly.Thrives in an environment of feedback and continual growth.Advanced in Microsoft Office Suite; experience with donor databases or CRM systems preferred.Available to work nights and weekends for events.Commitment to the mission, values, and community impact of St. Vincent de Paul.Physical Requirements
