Looking for an Executive Assistant that has supported C-Suite in a very HYPER GROWTH environment.

  • Strategically Manage the Calendar

Controls the executive's calendar as a strategic asset. Proactively blocks time for priority work, leadership visibility, and recovery. Shields against distractions, and restructures weeks in real time to meet shifting business needs. Knows when to say no.

  • Drive Meeting Precision and Follow-Through : Coordinates every meeting with clarity. Builds agendas, confirms objectives, and enforces start and end times. Tracks decisions and next steps. Circulates notes, nudges follow-ups, and ensures the executive never needs to ask twice.
  • Master Travel and Logistics : Manages all travel with accuracy and details. Prepares itineraries that optimize time zones, minimize fatigue, and ensure readiness. Handles visas, hotel logistics, and contingency plans. Remains accessible to resolve issues during travel.
  • Manages Recovery and Flow : Proactively schedules breaks and buffers between critical engagements. Tunes the week to balance deep work and rapid execution. Builds space for thinking, reflecting, and refueling—so the executive stays clear and decisive.
  • Leverage Tech and Automate Recurring Tasks : Uses advanced scheduling tools, templates, and automation to eliminate manual repetition. Experiments with AI to streamline processes. Audits workflows and replaces inefficient routines with smarter solutions.
  • Anchor Communication and Drive Clarity

    End in Mind : The EA ensures nothing slips through the cracks. Communications are handled promptly, professionally, and aligned with tone and intent. The executive stays informed without being overwhelmed.

  • Triage All Inbound Communication : Acts as the first line of defense. Screens calls, emails, and messages to surface only what's relevant. Responds to routine requests. Keeps the executive's inbox under control and prioritized by strategic urgency.
  • Draft Clear, On-Brand Communication : Writes and edits emails, memos, and updates that reflect the executive's voice and priorities. Builds repeatable templates and ensures timely dissemination. Tailors messaging for internal versus external audiences.
  • Track Deliverables and Deadlines : Maintains a running log of action items across meetings and threads. Chases down deliverables without being prompted. Escalates early when timelines are at risk. Closes the loop on every commitment.
  • Crisis-Mode Communication : Responds to high-pressure moments with precision. Coordinates fast-moving updates, clarifies the facts, and defuses confusion. Helps the executive stay calm and decisive while guiding others toward resolution.
  • Build Relationships and Extend Influence

    End in Mind : The EA builds relationships across the org and with key external players. They are trusted, respected, and quietly influential—able to unlock access, solve problems, and advance priorities through relationships.

  • Build Internal Trust and Access : Develops strong ties across departments. Understands who moves what. Knows how to navigate the org for approvals, insight, or alignment. Represents the executive with polish, warmth, and clarity.
  • Strengthen External Relationships : Serves as a primary point of contact for external stakeholders. Coordinates with investors, partners, vendors, or public-facing leaders. Ensures every interaction leaves a professional and mission-aligned impression.
  • Execute Special Projects : Owns execution of confidential or cross-functional initiatives—ranging from new hire onboarding to leadership offsites or board prep. Keeps timelines, vendors, and stakeholders aligned without requiring step-by-step oversight.
  • Advise and Anticipate : Understands the executive's patterns and needs. Anticipates requests before they're made. Spots risk early. Provides perspective and counsel in moments of ambiguity or overload.
