Billing Clerk / Receptionist
The Billing Clerk / Receptionist supports the office by handling essential administrative tasks such as answering phone calls, directing customers, and delivering exceptional service, while also performing billing duties for the utility department. As the primary point of contact between the city and its residents, this role requires a positive, friendly, and professional demeanor to foster strong relationships with the community.
Responsibilities and Duties :
- Greet and welcome guests as they arrive, direct them to the appropriate person or office, answer and screen incoming phone calls, and provide accurate information in-person, by phone, and via email.
- Assist the Utility Department daily to include setting up or disconnecting water accounts, creating service orders for customers, taking payment, and answering any questions regarding customer's water accounts.
- Receive and record payments for utility bills and court fees, make deposits for new utility customers, and balance the cash register by reconciling recorded transactions.
- Rotate to work night court as needed.
- Prepare street work orders for the Street Department and process work orders upon return.
- Receive, sort, and distribute daily mail / deliveries (this includes night drop box, PO box, and bank pickups)
- Monitor and maintain office equipment (e.g. adding paper to printer, liquid to postage machine, and ordering office supplies for postage machine)
- Manage inventory by ordering and tracking front office supplies.
- Ensure office security by following safety procedures and controlling access at the front desk.
- Ensure office and reception area is tidy and presentable (e.g. kitchen is clean, boxes are neatly organized and floors and walkways should be kept clean and free of clutter or debris)
- Update calendars and schedule meetings as needed, while organizing conference and meeting room bookings.
- Keeps current telephone directory of all personnel along with other relevant telephone numbers.
- Create Assessment Letters requested by title companies.
- Prepare purchase requisitions.
- Perform other duties as assigned by Department Head or Director.
Qualifications / Specifications :
Education High school diploma or equivalent.Experience Minimum of one year's experience in clerical field where word processing, filing, and telephone skills were required.Skills Ability to use personal computer with different types of software. Ability to edit correspondence for spelling, grammar, and punctuation. Ability to perform basic mathematics with or without a calculator.Licenses None required.Internal and External Working Relationships - Regular internal contacts with all departments within the City to coordinate work and exchange information. External contacts with various citizens and agencies requiring tact and diplomacy.

Accountability for Money or Material - Directly responsible for cash received at the counter, through the mail and at the drive through window. Accountable for maintaining confidentiality of information encountered in the course of job duties.
