(Chicago / Hybrid) The Stewardship and Gift Planning Associate identifies new planned gift prospects through phone, email, or letter outreach. The associate handles inquiries, assesses giving potential, coordinates with planned giving advisors for direct follow up. The associate will maintain contact with current donors to recognize their support and collaborate on future gifts. This position reports directly to the Senior Director of Planned Giving and is based in our downtown Chicago headquarters.

We are seeking an individual with a high school diploma or equivalent experience. Bachelor’s degree in marketing, communications or non-profit management is preferred. Minimum of 3 years’ experience in a non-profit fundraising or customer relations environment with a strong emphasis on interpersonal relationships with donors or customers through telephone and written communications is required. Individuals with 3 years’ experience in a non-profit fundraising environment engaged in research, cultivation and solicitation of qualified prospects and donors for planned or major gifts is preferred.

Essential Job Responsibilities Include :

Donor Relationship Cultivation

  • Maintain relationships with organization members through various means, such as telephone calls, birthday and holiday cards, and notes of encouragement, to support the retention of planned gifts.
  • Nurture opportunities for donors to consider increasing the value of their planned gifts.

Prospect Inquiries and Donor Screenings

  • Generate prospects and respond to inquiries.
  • Assess planned gift likelihood based on prospect affinity and attributes.
  • Screen donors for wealth and planned gift likelihood.
  • Refer leads to designated planned giving field representatives.

    • QCD Gift Administration

  • Process incoming third-party QCD gifts, ensuring gifts are properly credited to related donors. Engage with third-party administrators as necessary to obtain donor details and intent.
  • Prepare acknowledgment letters and appropriately thank donors through various means (telephone calls, cards, notes, etc.)
  • Assess if donors warrant referral to other Philanthropy representatives (Transformational, Leadership and Planned) and transition effectively.
  • Update donor database with concise contact notes and determine follow-up actions required.

    • Meeting Preparation and Standard Operating Procedures

  • Ensure the Sr. Director of Gift Planning and field representatives are equipped with all necessary materials and documents for internal and external meetings as requested.
  • Responsible for special projects as needed.
  • Develop, create, and adhere to standard operating procedures to ensure consistency and efficiency in operations.

    • Technical & Individual Skills :

  • Basic level proficiency in Microsoft Office applications (Word, Excel, Teams), Internet search engines, donor databases, and gift planning proposal software.
  • Basic understanding of personal finance, income tax and investment fundamentals
  • Basic understanding of various planned giving methods (such as wills, trusts, gift annuities, real estate, etc.) with capacity and desire to increase knowledge to intermediate level.
  • Excellent oral and written communication skills, with the ability to express self effectively and concisely.
  • Ability to effectively work independently with minimal direction.
  • Highly organized with strong attention to detail skills.
  • Comfortable interacting with varying religions traditions.
  • Strong knowledge of various faiths and belief traditions.
  • Knowledge of Jewish and Christian faith.
  • Travel is required as needed.
