Hours : Full-time; generally 8 : 30 AM – 5 : 00 PM M-F but some weekend and evening flexibility required

Summary of Position
The Development Coordinator / Assistant to CAO will provide crucial administrative and program support for Milton Academy’s advancement initiatives, with a concentration in major / principal gifts and stewardship, that are central to driving the school’s strategic vision. The coordinator will play a key role in supporting the Chief Advancement Officer (CAO) in all areas related to leading a mid-sized team of development and alumni relations professionals, and will also collaborate closely with colleagues to execute ongoing and special projects including but not limited to support for major / principal donor cultivation, proposals, stewardship, and other communications, Trustee and leadership volunteer pipeline development, and campaign preparation initiatives.
Essential Functions and Responsibilities
Work closely with the Chief Advancement Officer to support all aspects of leading a comprehensive fundraising and engagement program.
Support all aspects of front-line development work of the CAO and high-level school leaders (board members, Head of School, key volunteers) including visit preparation, appointment scheduling, travel arrangements, expense reconciliation and post-meeting / event follow-up.
Draft written materials with a special focus on major / principal donors and prospects, including meeting briefings, donor profiles, proposals, presentation decks, thank you letters, Trustee communications, school / campaign updates, general stewardship, and gift documentation.
Using Raiser’s Edge database, enter donor and activity data and run standard queries, exports, and reports as needed.
Provide staff support for Development and Nominations / Governance Trustee committees and leadership volunteer & campaign councils, coordinating with colleagues to facilitate department-wide reporting.
Manage CAO calendar and schedule, coordinating closely with internal and external stakeholders including the Head of School office, donors, alumni, and Trustee offices.
Track budget activity for the CAO, run monthly budget reports, coordinate with budget managers and Business Office on annual department budget submission, process invoices and receipts as needed.
Provide support to the CAO on human resource matters including supporting the onboarding of new colleagues.
Collaborate with colleagues to assist with special Advancement initiatives as needed, including Reunion, Giving Day, and other projects.
Coordinate office-wide administrative projects as needed.

Education
Required : Bachelor’s degree
Preferred : Experience
Required : 1+ years of work experience
Preferred : Experience in an academic environment
Technical
Required : Proficiency in Microsoft Office suite
Preferred : Facility with databases, preferably Raiser’s Edge
Physical Abilities
Required : Must be able to work at a computer for up to 8 hours each day in conjunction with OSHA requirements. Must be able to lift medium sized packages (up to 10 pounds). Must be able to move around the Milton Academy campus.
