The Licensing Specialist plays a critical role in ensuring the company remains fully compliant with all licensing and permitting requirements across its operations. This includes managing regulatory obligations triggered by business changes such as acquisitions, new office openings, relocations, renovations, and provider transitions.

Responsibilities

Manage all licensing and permitting requirements related to acquisitions / integrations, denovos, relocations, renovations, office / provider moves, closures, and provider departures.

Ensure compliance with legal requirements for business tax licenses, biomedical waste permits, certificates of occupancy / use, and other relevant permits.

Prepare, complete, and submit all necessary paperwork and application packets.

Obtain required documents and information from internal systems (e.g., C360), municipal databases, city / county / local governments, health departments, integration teams, and office staff.

Coordinate with legal company representatives for signatures and notarization.

Process payments, document receipts, handle submissions, and conduct follow-ups to ensure timely approvals.

Maintain accurate records, trackers, folders, and communicate regularly with the integrations team.

Schedule and coordinate inspections, follow up on inspection outcomes, and ensure corrective actions are implemented.

Monitor changes in business tax license and biomedical waste permit laws and regulations to maintain compliance.

Manage mailings and follow-ups for municipalities that do not accept electronic applications / payments; perform in-person visits as necessary.

Review biomedical waste vendor contracts for cancellations and new vendor setups; manage account name changes and crossover switches.

Create biomedical waste site operating plan templates and coordinate with office and integration managers.

Act as a compliance guardian for Millennium's licensing and permitting obligations.

Perform all tasks with minimal supervision, demonstrating strong initiative and problem-solving skills.

Demonstrate excellent guest service to internal team members and patients.

Perform other related duties as assigned.

Qualifications

Bachelor's degree in business administration, Healthcare Administration, Public Administration, or a related field preferred.

Certification : Certified Licensing Professional (CLP) or similar is a plus.

3+ years of experience in licensing, permitting, or regulatory compliance within the healthcare industry.

Demonstrated experience working with licensing and permitting requirements within the State of Florida is required. A focus on the southwest, central, and northeastern portions of the state is preferred.

Strong knowledge of business tax licenses, biomedical waste permitting, certificates of occupancy / use, and related municipal and county regulations.

Proficient in managing complex licensing processes with minimal supervision.

Excellent organizational, communication, and problem-solving skills.

Proficiency with record-keeping tools such as Excel and internal databases.

Proactive, detail-oriented professionals who can operate independently, track progress meticulously, and adapt to evolving business needs.

Ability to work independently in a fast-paced, cross-functional environment.

Physical Demands

Sedentary work. Exerting up to 10 pounds of force occasionally and / or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and / or fingers. The worker must have close visual acuity to perform an activity such as : preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
