Pos i tion D e s c ri p t i o n : The HR Associate is responsible for providing Administrative and Operational support in all areas of the People Operations Department. This position is essential in providing the first line of operational support for employees and leadership and plays a critical role in managing office operations, providing administrative support and ensuring the efficient functioning of the People Operations Department. This role requires a proactive, organized, and detail-oriented individual with a high level of integrity and ability to handle responsibilities and confidential matters with discretion.
Work Schedule : The typical schedule for this position is Monday-Friday, on-site, normal business hours, with occasional nights and weekends, depending on the needs of the position and the organization.
E s sen ti a l Du t i e s a n d Re s p o n s i b i li t i e s :
People Operations Support
- Provides excellent customer service and acts as the first point of contact to employees and external partners for People Operations administrative related queries which include : greeting employees, answering phones, providing general information and placing vendor orders as assigned.
- Perform routine tasks required to administer and execute People Operations programs including but not limited to : Benefits; Compliance; Recruitment and Retention; Disciplinary matters; Investigations; Performance and Talent management; Productivity, Employee Recognition; Occupational Health and Safety; and Training and Development.
- Works in tandem with the People Operations Generalists to assist with Employee Onboarding and New Employee Orientation.
- Coordinate employee offboarding tasks.
- Coordinates special events for People Operations, including but not limited to : Town Hall meetings, trainings, employee events, etc. as assigned
- Assist with planning and implementing Benefits Open Enrollment.
- Assist with the regular promotion and employee education around benefits offered at UMOM.
- Assist with the development, implementation, and promotion of wellness initiatives.
- Documenting, when necessary, employee relations concerns with a high level of detail. Exercising sound judgement in elevating employee relation concerns when appropriate
- Assist with incident investigations as needed.
- Ensure compliance related records and files are organized, secured, properly recorded, and stored for all former, current and new employees.
- Perform regular audits to ensure that all employee certifications are obtained, renewed, and recorded in a timely manner.
- Assist in preparing for and responding to routine reviews / audits.
- Maintain Personnel files as needed.
- Provide assistance with compliance reports, presentations, spreadsheets, and word documents.
Administrative Support
Coordinates all administrative activities related to the People Operations Team.Oversees and manages office moves and resets office spaces after each transition for new employees.Maintain and place orders for shirts, business cards, name plates, name badges, etc.Oversee booking system for all bookable conference rooms and the maintenance of bookable space furniture and systems. Set up spaces for high-priority meetings as needed.Maintains stock and visual presentation of all shared break rooms and office supply spaces. Schedule special housekeeping work as needed.Request or purchase approved items for restocking shared break rooms and office supply spaces.Performs administrative tasks for People Operations team, including but not limited to making copies, scanning documents, creating PDFs, etc. as requested.Other duties as assigned by Leadership and / or Executives.
Qualifications and Competency Requirements :
Experience and Education
High School Diploma or GED, requiredBachelor's degree in Human Resources, Business Administration, or related field preferred.Minimum of two years of human resources experience required with a general working knowledge of Human Resources regulations and processes.Knowledge of the non-profit sector; experience working with underserved or disadvantaged populations preferred.Computer skills
Excellent computer skills with strong proficiency in Excel, Word, PowerPoint, Outlook and Adobe DC.Experience with Human Capital Management Systems preferred (Knowledge of iSolved HCM a plus)Compliance
Valid Level One Fingerprint Clearance Card or the ability to obtain oneAbility to clear the Central Registry Screening from the Department of Child Safety & Adult Protective Services.Ability to comply with and pass all required background check and drug screening requirements, including but not limited to pre-employment and random drug screening as required / requested.Valid AZ Driver's License and a driving record that falls within UMOM's policy50 / 100 level of car insurance coverageThis is a safety sensitive positionBackground Screens
This position requires the selected candidate to have the ability to obtain, maintain and possess a valid Arizona Department of Public Safety Class One Fingerprint Clearance Card (FPCC). If the selected candidate does not currently possess an FPCC, UMOM will cover the cost of obtaining a card.
In addition, all UMOM employees must pass a Central Registry Background Check (CBC) through the Department of Child Safety (DCS) and Adult Protective Services (APS).
Drug Screening
All new hires must successfully pass the required drug screening.
