Job Responsibilities : The Sr. Benefits & Leave Specialist will oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans as well as all benefit administration details as needed.
- Communicates with employees regarding their needs for leave and / or modified work schedules. Ensures that employees are aware of their benefits and responsibilities and of any documentation and notice required to qualify for and to take leave.
- Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
Work directly with the FMLA third-party administrator to ensure that all employer communications are timely and accurate.
Run reports from the third-party administrator to ensure that leave data is accurate.
Ensures the utmost in highest customer experience related to benefit and leave administration.Oversees the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s).Ensures that leaves are accurately updated in the ADP system as well as properly communicated to the payroll team in a timely manner.
Facilitates and leads all other leave and benefit requests through professional communication via direct email, meetings, and the HR ticketing system.Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.Reconciliation, analysis, and processing of benefit invoices accurately and in a timely manner to ensure compliance with company benefit contracts.Manages communications about benefits during leave of absences including but not limited to answering complex employee questions about complex scenariosBe an administrator of the company benefit carrier portal to run reports, update employee profiles, etc. as needed and with accuracy.Conduct the weekly benefit orientation program for employees and new hires.Administers company reimbursement benefits offered to eligible employees including but not limited to massage, tuition reimbursement, etc.Maintains complete and accurate records of leave and benefit related matters in accordance with specified legal requirements and documentation of best practices and processes.Always preserves confidentiality of employee medical documentation and files.Maintains knowledge of all applicable benefit, leave, and accommodation laws including the FMLA, ADA, and state and local laws.Performs other related duties as assigned.Qualifications / Skills :
Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.Extensive knowledge of best benefit administration practices and legislation.Excellent written and verbal communication skills.Excellent analytical and problem-solving skills.Excellent organizational skills and attention to detail.Proficient in Microsoft Office Suite or similar software.Education and Experience Requirements :
Bachelor’s degree in human resources or related field required.3-5 years of human resource experience preferred.SHRM-CP or SHRM-SCP preferred.Benefit certification or similar preferred.Completion of specialized certification or training on FMLA / leave administration a plus but not required.Work environment :
Employees may experience the following physical demands for extended periods of time :
